Role Overview

Department: Employment, Pensions and Immigration - London

Location: London

Provides administrative and file management support across the team. Work comes either directly from the lawyer or through the Secretary Team Leader or Secretaries. Accountable for establishing and maintaining an ongoing service‑based relationship with the team they support, translating needs and expectations into responsive service.

Key Responsibilities

  • Client Relationship Management: Take instruction to undertake admin tasks relating to client relationship management and keep current knowledge of client protocols and processes.
  • Administrative: File opening and closing; undertake file closing/archiving procedures ensuring compliance; make room, hotel and travel bookings; organise hand deliveries and courier requests; printing, copying, scanning; send large electronic documents via OneDrive; submit documents for client signature via Signable; collate disclosure documents; assist with new client set‑up; produce MI reports; update client lists and email groups.
  • Communication: Liaise with team members on workloads and ensure deadlines are met; answer internal calls for other team members; liaise with and take direction from your Secretary Team Leader, secretaries and lawyers.
  • Financial: Assist with billing and expenses as required.
  • Processing: Manage priorities and workloads to ensure deadlines are met; liaise with STL where challenges arise; ensure compliance with firm‑wide/department policies and procedures; check post and/or emails and file client‑related correspondence appropriately.
  • Customer Service: Attend team meetings; liaise with lawyers and Secretary Team Leader to take instruction; update service users on progress; offer assistance wherever possible.
  • Firm‑wide: Understand DAC Beachcroft is an international firm and work with awareness of this structure to operate as one team; act in the best interests of the firm; operate in a regulated environment, managing risk and compliance including data security; partner with others to manage and mitigate commercial risk.

Qualifications

  • Relevant office‑based administration experience.
  • Aptitude for administration management and processes, with experience of working with document management/case management systems.
  • Intermediate knowledge of Microsoft Office.
  • Effective communicator who can liaise with internal and external clients professionally and provide exceptional service.
  • Good organisational skills and ability to manage own time effectively in a fast‑paced environment.
  • Conscientious, taking personal responsibility for own work and accountability for its delivery and quality.
  • Positive can‑do attitude with the ability to adapt to change.
  • Excellent attention to detail.
  • Customer/client service focused.
  • Proactive, professional and flexible approach to work.
  • Willingness to learn and develop over time.
