Our Health, Care & Public Law team plays a vital role in supporting clients across the public and healthcare sectors, helping them navigate legal challenges with confidence and expertise.

We're looking for an organised and proactive Administrative Assistant to join our team. This is an excellent opportunity for someone who enjoys working in a fast-paced professional environment, takes pride in delivering high-quality support and wants to build a career within a respected legal business.

Working closely with Legal Secretaries, lawyers and the Secretarial Team Leader, you'll provide essential administrative and file management support, helping the team deliver an exceptional service to clients and colleagues.


Key Responsibilities

As an Administrative Assistant, you'll support a variety of administrative, operational and client-focused activities, including:

  • Maintaining electronic and paper files, ensuring documents are accurately filed and organised.
  • Supporting file opening, closing and archiving processes in line with firm procedures.
  • Managing incoming post, scanning and distributing documents to relevant stakeholders.
  • Uploading, editing and managing PDF documents and electronic files.
  • Sending large electronic document packs securely via OneDrive.
  • Supporting the preparation, collation and indexing of legal documentation.
  • Assisting with the production of both electronic and hard copy court bundles.
  • Supporting lawyers and secretarial colleagues with a range of administrative requests.
  • Assisting with the organisation of meetings, events, seminars and conferences.
  • Booking travel, taxis, meeting rooms and couriers.
  • Handling basic client correspondence and responding to meeting requests where appropriate.
  • Answering calls and supporting team communications to ensure work is delivered promptly and efficiently.
  • Providing support with billing and finance administration activities.
  • Assisting with expense submissions on behalf of fee earners.
  • Responding to matter-related finance queries as required.
  • Managing priorities effectively and meeting agreed deadlines.
  • Maintaining accurate client and matter data.
  • Ensuring compliance with firm processes, data security requirements and regulatory obligations.
  • Delivering a responsive, professional and client-focused service at all times.

Skills, Knowledge and Expertise

We're interested in hearing from candidates who can demonstrate:

  • Previous office-based administration experience.
  • Strong organisational skills and the ability to manage multiple priorities.
  • Excellent attention to detail and a high level of accuracy.
  • Confidence using Microsoft Office, particularly Word, Excel and PowerPoint.
  • Experience working with document management systems or case management systems.
  • Working knowledge of PDF editing software.
  • Excellent written and verbal communication skills.
  • A collaborative, team-oriented approach.
  • A proactive mindset and willingness to learn new skills.
  • A strong customer service focus and commitment to delivering high-quality support.
