Overview of Role
The core objective for the appointed Document Controller would be to assist in the management of documentation for organisations on projects utilising an electronic document management system (EDMS). Focusing on the implementation of processes, supporting the EDMS userbase and reporting on output.
Responsibilities
- Provide administrative support to project teams
- Manage internal and external information flows in line with document control requirements
- Maintain effective communication with client, supplier, and project offices
- Maintain document registers, logs, and online records
- File, store, and distribute electronic correspondence and project documentation as required
- Provide technical support to project teams using the Electronic Document Management System (EDMS), including query resolution and user support
- Support project delivery by processing high-priority and time-critical documentation
- Assist Project Managers, Engineering Managers, and senior information management colleagues as required
- Prepare, run, and analyse reports to provide accurate performance and process data
- Carry out compliance and quality assurance checks on documentation, submission packages, and workflow stages
- Review, update, and format technical documents, reports, templates, manuals, and workflows
- Assist with close-out activities, including Health and Safety File processes
- Support the management of EDMS accounts, permissions, and access requirements
- Collate and track project data for reporting purposes, including submission volumes, certification status, and signature records
- Contribute to the continuous improvement of information management processes, including lessons learned, best practice, and future enhancements
- Report to the Information Manager.

- Good analytical and administrative skills with ability to analyse and interpret data

- Computer literacy, in particular Microsoft Excel

- Proficiency in the use of Bentley ProjectWise, or similar Electronic Data Management System (EDMS)
- Knowledge of O&M Manual/H&S Files
- Knowledge of the H&S and As Built hand back process to the National Records Group.
