d-fine is a continuously growing European consulting company with 2,000 employees. We are represented with 11 locations in seven countries and are 100% climate neutral. Our projects focus on quantitative issues around data analytics, data science, modelling and the development of sustainable technological solutions.

For our London office, we are seeking a second Office Manager. This is a full-time position with regular attendance at the office. This role calls for a high level of independence, initiative, strong communication skills as well as customer and service orientation.

Your Responsibilities
  • Office Administration / Office Management
    • First point of contact for the London office
    • General secretarial duties: reception, guest services, appointment coordination, housekeeping, office supplies etc.
    • Processing of purchase invoices, preparation of sales invoices and liaising with the Accountant
    • Contract administration and general filing
    • Assistance with travel management and hotel corporate agreements
    • Coordination of staff and client events as well as conferences
    • Support with IT processes, Marketing, ISO certifications
  • Human Resources
    • Organising marketing and recruiting events
    • Applicant management
    • Support with administrative procedures and necessary formalities for new and existing staff
    • Maintenance and updating of policies and regulations
  • Health & Safety
Your Expertise
  • Broad professional work experience with a high level of attention to detail
  • Fluent in written and spoken English
  • German language skills are strongly desirable
  • Sound knowledge of MS Office
  • Willingness to take responsibility for one’s own area of work
  • Ability to work both independently and as part of a team
  • Excellent organisational, coordination and communication skills
