CycleHub.Org is looking to appoint
a Receptionist
to enhance customer and client engagement across the organisation while ensuring a strong front-of-house presence for our retail and leisure departments. The post will be
full-time (35hrs per week split across 5 days)
with a salary of
Β£24,750
inclusive of PAYE and Pension contributions.
This role is not suitable for home-based working and the suitable candidate will be expected to be in attendance at our headquarters at Bell St. for the entirety of the working hours outlined above.
Proposed working hours are Tue-Sat 08:30 β 16:00 inclusive of lunch.

The Receptionist will report to the Director of Operations and will be responsible for ensuring prompt and efficient communications across the organisation as the main point of contact for the public. The role will include directing customers and clients to the appropriate members of the wider team alongside answering phone, email, and social media messages in a prompt and professional manner. Additional duties will include supporting click and collect, updating order inventories, supporting the dropshipping element for deliveries and pickups, and updating customer databases.
This role is directly linked to the retail department and will work closely with the Dundee Cycle Hub team to support the profit generation arm of the social enterprise. This will include undertaking sales at the till, a basic understanding of our products and services for which training will be provided, and a demonstrated eagerness to support any customer that comes through our door.
As the first individual the majority of our customers will interact with, our perfect candidate is someone who is welcoming, friendly, always happy to help, and someone customers feel completely at ease to engage with. Supported and line managed by the Director of Operations, this role will have a direct line to senior management ensuring prompt fixes to challenges that may arise, processes that may need adapted, or to herald success stories across the organisation.

Key Duties
- Act as the primary point of contact for the public, ensuring prompt and efficient communications across the organisation
- Answer incoming telephone calls, emails, and social media messages in a professional and timely manner
- Greet customers and clients with a welcoming and friendly demeanor, directing them to the appropriate team members
- Undertake retail sales at the till and provide basic information to customers regarding products and services
- Support the retail department by managing click and collect orders and coordinating dropshipping for deliveries and pickups
- Maintain and update customer databases and order inventories to ensure accurate record-keeping
- Handle sensitive information in line with confidentiality and data protection (GDPR 2018) requirements
- Liaise directly with the Director of Operations to highlight areas for improvement and advocate for a positive customer experience
- Support the profit-generation arm of the social enterprise by engaging in proactive customer service and sales support
- Assist with general administrative and clerical tasks to a high standard to ensure efficient front-of-house operations
- Collaborate closely with the wider Dundee Cycle Hub team to support retail and leisure department goals
- Participate in relevant training to maintain a working knowledge of products and adapt to new organisational processes
Qualifications
National 5 at Grade C or above in English and Maths (or equivalent)
Desirable
Evidence of ongoing personal and professional development activities during career to date
2 or more Highers in relevant subjects (e.g., Administration & IT, Business Management)
SVQ Level 2 or 3 in Business and Administration
Experience/ Knowledge
Proven experience in a customer-facing or front-of-house environment
Experience handling a high volume of telephone, social media IM, and email enquiries
Experience performing administrative or clerical duties to a high standard
Understanding of confidentiality and data protection (GDPR 2018) requirements
Desirable
Previous experience working in a Social Enterprise or Third Sector organisation
Experience using booking systems, switchboards, or CRM databases
Knowledge of local community resources or relevant local geography
Experience in retail, till operation, or basic financial processing
Skills
Excellence in interpersonal and customer care skills
Fast and accurate data entry and typing skills
Excellence in written presentation and use of electronic media
Ability to handle difficult situations or complaints with diplomacy
Proficiency in Google Workspace and/or Microsoft Office Suite
Strong organisational skills and the ability to prioritise tasks

Qualification or equivalent experience in Meta Business Suite
