The Receptionist will be the first point of contact for visitors to the department. They will work as part of a busy team providing professional reception duties and comprehensive clerical support to the service, maintaining confidentiality at all times. The post holder will perform front of house duties and be expected to liaise in a professional manner with patients, colleagues, members of the public and other agencies involved in patient care as well as undertaking a wide spectrum of duties within the confines of the role. The post holder will be expected to use their own initiative when undertaking duties, however the Administrator is available if required for support and guidance. They will help to achieve the highest standards for patient care, which reflects the quality and standards and mission of the University Health Board, following appropriate systems, procedures, policies and processes.
Main duties of the job
- To plan their own day‑to‑day tasks and duties.
- To communicate effectively with patients on a face‑to‑face basis, or via the telephone, using tact and diplomacy to relay routine information and overcome any barriers to communication such as hard of hearing or learning difficulties.
- To book Consultant‑led clinics, and obtain patient notes in preparation for the clinics.
- To maintain effective communication with all members of the multidisciplinary team.
- To undertake office tasks such as photocopying, scanning, faxing when requested.
- To use Welsh PAS (Myrddin) for the management of Consultant‑led clinics, by recording attendances, DNA’s etc., and amend demographic information to ensure accuracy for future use by the wider organisation, in accordance with the Data Protection Act.
- To conduct all medical filing immediately and routinely to ensure the availability of up‑to‑date information for future admissions/outpatient consultations within the wider organisation.
Person Specification
- Skills: Interpersonal skills, communication skills, ability to prioritise, knowledge of databases – MS Office, spreadsheets, NHS databases, Welsh Language Speaking/Listening Skills at Level 3 or above.
- Experience: Experience of working in a busy environment, experience of filing and filing system, experience of working in the NHS.
- Qualifications: Experience of IT systems, good standard of education, experience of NHS systems – WPAS etc.
