Overview
The closing date is 11 February 2026. This post is fixed term/secondment for 2 years until 19 January 2028 to cover a secondment. If you are interested in applying for the secondment position, you must obtain permission from your current line manager prior to applying for this post.
We are seeking a Band 4 Lead Administrator to provide supporting administrative and reception duties as required, supporting Trainees, patients and visitors within the National Imaging Academy (NIAW). The successful applicant will demonstrate excellent communication skills, being able to engage and work with a large multidisciplinary team from across organisations.
NIAW's primary function is to provide high quality training to the imaging workforce across Wales. It is also charged with hosting a research and innovation hub for diagnostic imaging in NHS Wales, collaborating with NHS, academia and industry partners to develop and exploit research and innovation opportunities in Wales. NIAW also has a business function, generating income through the hosting of RCR examinations, diagnostic imaging training/development courses and external events. The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.
Main duties of the job
- The post holder will work alongside the NIAW Administration Team and a wider multidisciplinary team of Academy Director, Managers, Trainers and Researchers to provide comprehensive and effective administration support, working as part of a team providing efficient services for training, assessment, research and innovation activities.
- The post holder will also provide creative and technical support in the marketing of NIAW and its services.
- The post holder will be required to provide supporting clerical and administrative duties as required and support the patient pathway within the Academy.
- The post holder will provide a comprehensive administrative and operational support function to the Imaging Academy to ensure its smooth day-to-day management and contributing to the delivery of high-quality training programmes in line with educational targets and in accordance with the requirements set out by the Royal College of Radiologists.
- The post holder will welcome and direct visitors, including covering reception duties as required, and assist patients who attend the Academy.
- The post holder will assist Academy staff and Trainers to provide safe care for patients within the Academy using knowledge and skills developed in the role to chaperone Ultrasound examinations as well as providing patients, carers and relatives, advice information and guidance about appointments within the Imaging Academy.

Person Specification
Qualifications and/or Knowledge- Vocational Level 3 in a relevant subject or equivalent skills, knowledge and experience.
- Knowledge of administrative practices and secretarial procedures and office systems.
- Understanding of confidentiality and governance of data.
- ECDL or similar computer qualification.
- RADIS and Oracle Training.
- Substantial administration experience in an NHS/Health setting.
- Experience of using computer packages and clinical databases, including data entry.
- Experience in a customer focused environment.
- Previous experience of managing and implementing patient, trainee and trainer feedback.
- Excellent interpersonal and communication skills.
- Excellent organisational and time management skills.
- Excellent IT skills including advanced keyboard skills and proficient use of Microsoft Excel, Word, Outlook and PowerPoint.
- Welsh Language Speaking/Listening Skills at Level 3 or above.
- Possess a positive, empathetic and caring attitude.
- Possess a strong commitment to improving patients' experiences and care.
