An exciting opportunity has arisen to work within the Cwm Taf Morgannwg (CTM) Health Board within the NHS. This is a full-time position based at the Prince Charles Hospital in Merthyr Tydfil. The post holder will work as a Clinic Co-Ordinator within the Endoscopy Unit, working in a multi-disciplinary team and ensuring the right patients attend their correct clinic. This is a great opportunity to contribute to the smooth running of operations within the NHS, and making sure patients receive the best possible care.

Main duties of the job

  • To be responsible for the day to day co-ordination of all Endoscopy appointments and Outpatient Clinics within the Endoscopy Unit.
  • To ensure the right patient attends the right clinic, on the right day at the right time.
  • To have responsibility for the preparation of all case notes adhering to departmental policy.
  • To provide a high quality reception service for all patients, their families, carers and any other visitors to the department.
  • To manage the partial booking wizard and assist and support the Manager and junior staff within the department.
  • To provide cover for reception on a rotational basis.

Job responsibilities

  • To maintain the partial booking invitation wizard in line with departmental procedures.
  • To co-ordinate all appointments in a timely manner.
  • To track, locate, file and retrieve case notes.
  • To prepare and provide case notes for clinics.
  • To input and extract data from the Health Boards Myrddin CIS System (and other systems related to Endoscopy as required to meet the needs of the service).
  • To file documentation in an accurate and timely manner.
  • To postpone and reschedule follow-up appointments and monitor cancelled and reduced follow-up patient clinics.
  • To provide a high quality reception service for all patients.

Person Specification

  • Qualifications: NVQ level 3 in Business Administration or equivalent.
  • Knowledge and experience: Ability to perform a full range of administrative and clerical duties.
  • Welsh language speaking/listening skills at Level 3 or above.
