Vertus is looking to recruit an Events Assistant to join our Management Team. Reporting directly to the Events Manager, you will ensure that residents (tenants) have the best rental experience and consistently deliver the highest levels of customer service, becoming a Vertus brand ambassador.
Main Responsibilities
- Generate ideas for the event programme employing research, presentations and assisting with strategic planning.
- Assist the Events Manager in planning events from start to finish, including events such as Wine Wednesday, Coffee mornings, cooking classes.
- Coordinate events for residents, achieving client expectations and acting as a brand ambassador for Vertus.
- Keep up to date with current event trends and how they impact Vertus residents.
- Continually assess, evolve, and improve the residents’ event experience.
- Manage the diary and ensure that relevant departments are fully informed.
- Order and stock take all items related to Club Vertus and Resident events in line with the departmental budget.
- Keep all event storage rooms tidy and well stocked.
- Update the Resident app with current offers and promotions.
- Update digital screens in the communal areas and be aware of other events and promotions that occur on Canary Wharf.
- Assist with influencer and press overnight bookings: allocate rooms, purchase refreshments, and update all relevant departments.
- Source and manage external events operators and production freelance staff as required.
- Ensure all outside vendors adhere to licensing laws and maintain compliance with premises licence, Food Act 1990, Health and Hygiene at Work etc.
- Maintain standards of maintenance and cleanliness in Club Vertus and coordinate with all necessary departments.
- Initiate works and maintain the upkeep of the Club Vertus equipment.
- Attend Club Vertus Events and ensure all Residents and Guests have the best experience.
- Ensure Club Vertus amenity spaces are presentable at all times.
- Build relationships with residents.
- Establish and maintain good relationships with Canary Wharf retailers.
Person Specification
- Experience of working within the arts, events, charity and/or entertainment sector desirable but not essential.
- Proven ability to effectively manage multiple tasks/events and meet deadlines.
- Excellent organisational, communication and negotiation skills.
- Creative exceptional customer service.
- Attention to detail and confidence in talking to a range of different people.
- Desirable experience in coordinating and/or managing events/projects.
- Good knowledge and understanding of current event industry's legislative regulations and relevant HSE, licensing, PRS and other related regulations.
- Good knowledge of all event aspects inclusive of technical, front of house, aesthetics, marketing and publicity.
- Ability to work with limited supervision.
- Good presentation skills and an understanding of the Build to Rent market.
