The role of Document Controller is to ensure that all of our projects documentation and information flows are up to date and accurate on all sites, whilst providing integral admin support to the Operation/Commercial delivery teams. You will be proficient with the Construction Management Software, Procore. In addition, you will be required to ensure that progress meetings are managed and that the progress reports are prepared and issued in a timely manner.
Reporting To: Office Manager
Main Responsibilities:
- Setting up site files.
- Uploading all current information on to Procore.
- Issuing the C&W Project Directory to the Professional Team.
- Assisting in the site set-up preparations.
- Attending any pre-start meetings as required.
- Obtaining hard copy drawings as requested by the delivery team.
- Admin support as and when required.
- Providing initial/ongoing Procore training to new starters and members of the Clients Professional Team.
Construction Phase:
You will be responsible for the following day-to-day activities on site, including, but not limited to:
- Managing the flow of information using Procore to ensure all of the information is up to date and accurate.
- Providing on-site Procore training as required, including new starters, refresher training etc.
- Tracking outstanding actions raised by Procore and providing follow up ensuring actions are closed out in a timely manner.
- Prepare and issue Progress reports, using standard formats, in a timely and presentable manner.
- Providing admin support as and when required.
- Ensuring all on-site hard copy drawings are current and up to date and in line with information contained within Procore.
- Attending various team meetings, subs meeting/progress meetings as and when required as directed by the Project Manager.
- Ensuring that the site office is kept presentable and tidy, including paperwork, drawings, filing etc.
- Working pro-actively with the site team to ensure all administrative issues are dealt with in a timely manner.
- On project completion, working with the team to close down the project, including archiving any project documents and any other outstanding issues that the team may require support with.
- Attending any final handover meetings and working with the team to prepare the necessary paperwork for the handover date, including key schedules, handover documents for signature, O&M files etc.
- Attending project functions and topping out celebrations.
- Championing professionalism at all times.
Post-Project:
- Track via Procore outstanding snagging and liaise with the site team for updates and final closeout.
- Review any outstanding tracking schedules outstanding at PC - Warrant trackers, guarantees etc. and liaising with the Commercial Manager accordingly.
- Finalising all outstanding paperwork.
