Due to expansion to this newly created team, we are looking for a hard working individual, who takes pride in their work and support to customers

Working in a business centre you will have responsibility for providing a consistently high standard of customer care to the internal and external clients, being an ambassador of the business

This is a varied role, working as part of a small team provide the full range of operational and customer services on a day to day basis

The Operations Assistant will support the Centre Manager and will deal with complex client issues, moving clients in and out of their office space

Responsible for ensuring the operation runs smoothly and efficiently

This role has a strong focus on the accounts functions within the business – including cash handling, receipting, banking, invoicing, debt collection

Involvement in: services, standards, facilities, security, health & safety, IT & telecommunications, house keeping, meeting and conference rooms set up

General client support, post, faxes, telephone answering, meeting and greeting visitors

Responsible for ensuring a high standard of service delivery is provided in all of these areas to maximise revenue generation.

The close working relationship with the Centre Manager and the team will be the key to the success of this role and the centre

The ability to develop and maintain relationships with clients, staff and suppliers is paramount

Participate in the demonstration of Centre services to prospective clients and attend client breakfasts and meetings as appropriate

To ensure that clients, visitors and suppliers receive a positive first impression of the Centre

Effective telephone answering, meeting and greeting and timeliness, speed and delivery of service, anticipating clients’ needs

Setting up of meeting and conference areas, dealing with catering procedures

Organising furniture

Maintain records and support in the preparation of reports and audits

Operate and provide IT and Telecommunications solutions to clients

Setting up telephone and internet connections, troubleshooting problems

Manage daily bookings to ensure catering and other requirements are met and delivered on time

Servicing the rooms by ensuring that set up is correct and maintained throughout the client stay

Food and beverage handling, preparation and clearing for client meetings and events

Effective planning and organising of time and tasks in line with needs of the team, the clients and the Centre

Work on the centre reception as the first point of contact for internal and external clients and visitors to the centre

Provide services for internal and external clients

Including document and presentation preparation, mail handling and sorting and sending, courier bookings and pick-ups and deliveries, booking of meeting rooms

Support new starters with training and coaching on job

Skills and Attributes required

A high standard of personal presentation

Effective, articulate communication, providing first-line customer care on a daily basis, representing all of the clients that use the centre

A team player who takes pride in their work and customer service support

Excellent customer service skills

Able to problem solve and deal with people at all levels

Accurate, attention to detail, numeric

Excellent IT skills
