Role Overview: We are seeking a proactive and organised Executive Assistant to provide essential support to our Executive Board. As a vital member of our team, you will act as an ambassador for the department, handling complex and confidential correspondence with tact and diplomacy.
Key Responsibilities:
- Filter, redirect, and respond to the Directors' telephone calls and written correspondence, demonstrating discretion in sensitive matters.
- Facilitate travel and facilities requirements for visitors, managing all logistics for meetings, workshops, and conferences.
- Produce high-quality documents, including transcriptions, formatting, and presentations, ensuring accuracy and professionalism.
- Maintain accurate records and prioritise tasks effectively while exercising the utmost confidentiality.
- Collaborate with fellow Executive Assistants to ensure seamless support across the Executive Board.
- Manage the complex diary of the Director, optimising their time and proactively addressing issues in their absence.
- Organise and coordinate travel arrangements, including flights, accommodation, and transport.
- Attend meetings, draft agendas, take minutes, and follow up on action items to ensure accountability.
- Prepare presentation materials and handouts to a high standard, supporting the Director's initiatives.
- Coordinate onboarding arrangements for direct reports, ensuring a smooth transition for new team members.
- Source and issue purchase order numbers, validate incoming invoices, and maintain office supplies.
