On behalf of our client, a highly respected firm in the Intellectual Property sector, we are seeking an experienced Records Administrator to join their dynamic records team. This is a fantastic opportunity to become part of a forward-thinking, supportive environment where attention to detail and precision are highly valued.
In this pivotal role, you'll be responsible for maintaining accurate and up-to-date IP records throughout the full lifecycle from pre-filing to post-grant. You'll play a crucial part in ensuring deadlines are met, clients are informed, and records are managed with the highest level of accuracy.

- Hours of work: 9am to 17.15pm, 36.5 hours per week

Key Responsibilities:
- Input and cross-check new IP cases on the records system
- Manage filing receipts, client correspondence, and post-grant processes
- Monitor and update key deadlines and due dates
- Draft and issue standard and custom correspondence to clients, IP offices, and overseas agents
- Generate and verify reports, including invoicing and filing-related documents
- Track and process oppositions, assignments, renewals, and expirations
- Load and maintain client/applicant information including special instructions
- Conduct daily audits and generate ad hoc schedules as required
- Support training within the records team and provide cover for Records Manager when needed
Skills/Experience Required:
- Strong knowledge of IP records systems and applicable legal frameworks
- Experience using EPO and EUIPO mailboxes and navigating IP registers globally
- Solid understanding of patent and trademark lifecycles and processes
- High-level proficiency with Microsoft Office and Worksite (or similar DMS)
- Excellent accuracy and attention to detail in data entry and reporting
- Methodical, structured approach with the ability to manage multiple deadlines
- CIPA/CITMA Administrator's course (desirable but not essential)
- A proactive, team-oriented mindset
