Job Title: Executive Assistant to COO & CFO Hours: 20 hours per week Location: Winchester Cathedral Salary: £14,449.75 (£27,093.29 FTE) An exciting opportunity has become available for a part time, permanent, Executive Assistant to the Chief Operating Officer and the Chief Finance Officer to join us at the Cathedral. Reporting to the Head of Chapter Office, we are seeking a highly organized and proactive EA with strong operational and administrative skills to provide high-level support to our leadership team. This role requires exceptional calendar and email management abilities, as well as experience in streamlining processes and ensuring smooth day-to-day operations. The successful candidate will provide proactive, professional and confidential EA and administration support to the Chief Operating Officer and the Chief Finance Officer. Key duties include: • Manage COO & CFO diaries, calendars, appointments, and travel logistics. • Acting as gatekeeper, dealing with day to day enquiries and providing support to the COO & CFO • Making practical arrangements for internal/external meetings including the coordinating, preparation and minuting of various finance meetings 6x year (some meetings may fall outside of normal working patterns • Ensure that the COO and CFO are well prepared for meetings • Meeting and greeting of visitors • Maintaining an efficient soft filing system, including keeping records of documents held at external organisations such as Hampshire Records Office and solicitors • Ensure GDPR compliance • Arranging logistical aspects of some events some of which may be very high profile. This includes but not limited to coordinating invitations, catering and schedule • Dealing with and responding to incoming telephone calls and mail sensitively and confidentially • Raising cheque requisition forms and purchase orders as and when required • Compiling expenses for the COO, CFO and assisting the IT Volunteer Consultant • Assisting with ad hoc administration tasks and duties for the COO & CFO as well as the Senior Management Team • Coordination of incoming complaints, keeping records, distributing to Senior Management for action as appropriate and ensuring a timely response iaw complaints policy • Diary Senior Management Team’s planned annual leave, ensuring sufficient cover over certain periods • Compile, update and distribute the Cathedral Key Dates • Assist Head of Operations with staff housing requirements such as drafting Tenancy Agreements • Draft Non-Disclosure agreements for various projects • Assisting with compiling PowerPoint presentations such as Community Day and College of Canons for the COO and CFO What you'll bring: • Proven experience at a senior level as an Executive Assistant/Personal Assistant • Proficient in Microsoft Office suite • Working knowledge of Publisher and Access database • Knowledge of Office 365, MS Teams and Zoom
