Main Function To provide administrative support to the Production function / Director. Key Functional Areas * Electronic and paper filing of correspondence, general papers and emails * Answering calls from customers / site employees * Updating of our registers and dealing with archiving of old information * Typing of a variety of documents including letters, memos, reports, presentations, minutes * Arranging meeting and meeting rooms, welcoming visitors and arranging tea/coffee/lunches * Helping with Board packs for monthly meetings (when required) * Maintaining information on our databases, systems and registers * Processing Information Packs (i.e. uploading and printing etc.) * Collating information for Production reports including site packs, build programmes, build status overviews and plots at risk * Working with Group L&D to ensure al training records are up to date * Supporting the Production Director with formal complaints as and when required Key Capabilities Required (1) Skills, Capabilities and attributes * Able to communicate written and verbally with people at all levels * Good attention to detail * Excellent organisational skills * Ability to deal with a number of tasks at the same time * Able to work to deadlines (2) Behavioural Attributes * Must be approachable and have a can do attitude (3) Knowledge, Experience and Qualification * A strong knowledge of Microsoft (2010), Word, Excel and Powerpoint. * Experience of working in a varied role and working for multiple people
