Accounts Coordinator

Custom Heat & Cool is a family-run heating, plumbing, air conditioning and electrical business, and we’ve been heating & cooling since 1980. With offices in Rugby and St Austell and a team of around 80, we’re big enough to offer real variety and small enough that everyone knows your name. Our customers trust us with their homes, and we take that seriously: comfort you can feel, care you can trust.

We’re looking for an Accounts Coordinator to join our Finance team in Rugby, reporting to the Head of Finance. You’ll keep the money side of the business moving accurately and on time, so invoices are right, cash comes in when it should, and the team can rely on the numbers in front of them.

It’s a varied, hands-on role. You’ll work across bookkeeping, credit control and customer accounts, and you’ll support payroll.

Hours are 8:30am to 5pm Monday to Thursday, and 8:30am to 4:30pm on Fridays. No weekends.

What You’ll Be Doing:

  • Logging and processing purchase invoices and receipts, and raising sales invoices through our CRM
  • Recording incoming payments, and helping with bank reconciliations and month-end close
  • Supporting payroll processing and keeping records accurate
  • Monitoring aged debtors and contacting customers about overdue invoices
  • Handling calls and emails about invoices, payments and account queries
  • Resolving disputes calmly and professionally, and escalating when needed
  • Setting up new care plan contracts and GoCardless direct debit mandates
  • Completing boiler registrations within manufacturer deadlines
  • Checking purchase orders against supplier invoices, tracking job costs and flagging discrepancies
  • Keeping up to date with grant funding, tax and VAT changes
  • Liaising with B2B and large commercial partners and their accounts teams to ensure invoices are processed smoothly and avoid bottlenecks
  • Classifying free-of-charge reasons and working with the Operational team to resolve operational issues affecting invoicing and cash collection
  • Working extensively in Xero to maintain high accuracy and perform reconciliations

What We’re Looking For:

  • Knowledge of and experience in bookkeeping, payroll and credit control
  • Experience in an accounts or finance coordination role, covering accounts payable and receivable
  • GCSE grade 4/C or above in English and Maths, plus an A-Level, BTEC or college qualification in Finance or Business
  • Strong numerical accuracy and close attention to detail
  • Confidence with Microsoft Office or Google Workspace, and with keeping CRM records accurate
  • Clear, friendly communication by phone and in writing
  • The ability to work independently, stay organised and handle confidential information with discretion

What We’re Looking For:

  • An AAT qualification or equivalent
  • Experience with GoCardless, Xero, Sage or QuickBooks
  • Experience tracking job profitability, such as material and labour costing
  • Some awareness of grant funding and tax/VAT compliance
  • Experience or familiarity with modern AI systems such as Gemini, ChatGPT, or Claude

Key Benefits:

  • 28 days’ annual holiday including bank holidays, plus your birthday off, a Tools Down day each year and the option to buy extra holiday
  • Private healthcare that covers pre-existing conditions, and your partner and children too
  • Salary sacrifice pension
  • Gym discounts with Nuffield and Hussle, and an employee assistance programme
  • MacBook Pro
  • Free on-site
  • Team days, company events and a referral programme
  • A real focus on training and development
