The Front of House Coordinator role has overall responsibility for delivering first class customer service to our client and ultimately their clients. You are the main point of contact for all service requirements and will act as a brand ambassador for both our client and C&W.

Key Responsibilities

  • Manage reception services, meeting room bookings, visitor management, and front-of-house operations.
  • Act as a key point of contact for employees, visitors, contractors, and service providers.
  • Coordinate office services, including mail, couriers, catering, stationery, consumables, and hot desk management.
  • Log, monitor, and track facilities requests and maintenance activities through the Facilities Management system (FAMIS 360).
  • Support reactive and planned maintenance activities, ensuring timely completion of work orders and accurate record keeping.
  • Maintain contractor documentation, including insurance certificates, RAMS, permits, and site inductions.
  • Process purchase orders, invoices, and expense tracking through procurement and finance systems (e.g., Ariba).
  • Maintain facilities documentation, reports, stock levels, and operational records.
  • Support internal events, executive services, travel bookings, and meeting arrangements as required.
  • Conduct routine workplace inspections to ensure a safe, clean, and well-maintained environment.

Key Requirements

  • Previous experience in facilities coordination, workplace services, office administration, or reception management.
  • Strong customer service and stakeholder management skills.
  • Excellent organizational skills with the ability to manage multiple priorities.
  • Experience working with facilities management, procurement, or finance systems is preferred.
  • Proficient in Microsoft Office applications.
  • Professional, proactive, and detail-oriented with strong communication skills.
