Our Seascale office is hiring a Service Administrator for their team! As the Service Delivery Administrator, you will be providing administration and service support across multiple projects within the scope of the Service Department. You will manage and coordinate service requests, scheduling, reporting, documentation, and overall end-to-end order processing. The postholder will be able to work autonomously and provide continuity for the team.
Location: Seascale, Cumbria UK (onsite)
Your Challenge:
- Oversee and manage the service portal ticketing system, coordinating with the engineers to create, assign, and routinely update tickets through the completion system.
- Maintain professional communication with internal and external stakeholders to support service delivery, including managing supplier relationships, monitoring performance, and coordinating the shipment of parts to customers.
- Maintain accurate records to support audits, compliance, and company procedures.
- Input, update, and analyse data in internal systems, producing regular reports as required including producing monthly KPI reports.
- Manage end-to-end order processing and provide support with invoicing, expenses, purchase orders, and related administrative tasks.
- Procure office supplies, maintain stock levels, and liaise with vendors, including managing the spares inventory at the Seascale office.
- Act as the teamβs Health & Safety and First Aid representative.
- Manage calibration tool workflows, including the shipment, receipt, and logging of equipment.
- Oversee return-to-base repairs and warranty processes.
- Attend customer meetings and produce accurate minutes and action logs.
- Create, format, organise, and maintain documents, records, and filing systems (digital and physical).
- Provide comprehensive administrative support to departments and leadership, including the preparation of presentations and reports, organising meetings, coordinating travel arrangements, and minute-taking.
- Identify and implement opportunities to streamline administrative processes and enhance operational efficiency.
What You Bring:
- Security contractual compliance will require incumbents must be a sole British National.
- Business administration qualification and/or equivalent service-based discipline experience.
- Previous experience in a Service position and a proven track record of successful delivery of quality product/service support.
- Experience within organisations which have robust engineering practices.
- Awareness of ISO 9001:2015 standard (supporting audits).
- Previous experience delivering excellent customer focused service.
- Demonstrable problem solving abilities.
- Ability to work well within a small team and able to deliver under pressure.
- Proficient with Microsoft package including Excel spreadsheets.
