We are recruiting on behalf of an established, fast-growing specialist service provider operating across the UK. Their field teams and fleet of vehicles are constantly on the move, which means there is a lot happening behind the scenes. They need a sharp, proactive Operations & Fleet Coordinator to sit right at the heart of the business, keep all the plates spinning, and ensure the entire operation runs like clockwork. This is not a passive administration job. We are looking for someone who takes total ownership, asks the right questions, keeps accurate records, chases people when necessary, and gets genuine satisfaction from turning "I thought someone was dealing with that" into "done".
Key Responsibilities
- Fleet & Job Coordination: Schedule and book daily operational jobs for field teams, ensuring vehicles are dispatched with the correct equipment and information.
- Fleet Administration: Manage all back-office servicing for the vehicle fleet, including coordinating MOTs, routine maintenance, repairs, and compliance records.
- Live Operations Monitoring: Keep a close eye on live job progress, proactively flagging and resolving potential roadblocks before they impact service delivery.
- Central Inbox & Communication: Take control of the operational inbox, ensuring queries from customers and field staff are answered, delegated, or followed through to completion.
- CRM & Data Integrity: Maintain precise job management records in the CRM system, ensuring data is accurate and trustworthy.
- Resource & Onboarding Support: Assist with field team onboarding, PPE, equipment allocation, and operational training records.
- Process Improvement: Identify operational bottlenecks and suggest practical ways to improve daily workflows.
What We Are Looking For
- Operational Experience: Background in a busy coordination, service delivery, or operational role. Experience within field services, facilities management, logistics, maintenance, or engineering is highly desirable.
