We are now looking for a Purchasing Administrator to join our Procurement team.
This is a great opportunity for someone who is highly organised, confident with Excel, and enjoys seeing a process through properly from start to finish.
This role would suit someone with strong administrative experience, perhaps from a sales administration, purchasing, order processing, customer service coordination or supply chain support background.
You do not need to have worked in publishing before, but you will need to be confident managing information, checking details carefully and keeping things moving.
The role As Purchasing Administrator a key part of the role will be managing orders from the initial sales enquiry through to raising the purchase order.
This will include cost negotiations, confirming schedules, checking customer requirements and packing details, updating databases, preparing documentation and making sure the right information is in place at each stage.
You will work closely with our Sales, Procurement, Publishing and Production Control teams, as well as external suppliers, to make sure information is accurate, orders are raised correctly and delivery dates are managed effectively.
You will also support the Procurement team with supplier communication, cost information, order tracking, filing and process improvements.
What youll be doing You will: Manage sales enquiries and order information from the initial request through to purchase order stage.
Raise and update purchase orders and other related documentation.
Use Excel and internal systems to manage product, cost, schedule and order information.
Liaise with Sales to understand customer requirements, including delivery schedules and packing details.
Work with suppliers to confirm costs, schedules and order details.
Support the Procurement team with tracking orders and chasing missing information.
Keep databases and files accurate, consistent and up to date.
Work closely with internal teams to make sure information flows clearly and on time.
Check specifications and order details carefully before they are confirmed.
Help identify where processes could be improved or made clearer.
About you We are looking for someone who is practical, organised and dependable, with a real eye for detail.
You will need to be confident using
Microsoft Excel and comfortable working with databases or order management systems.
You will enjoy working with information, spotting when something does not look quite right, and following things through until they are resolved.
You will be a good communicator who can build positive working relationships across different teams and with external suppliers.
You will also need to be proactive, calm under pressure and happy working in a fast-changing environment where priorities can move quickly.
