Role Responsibilities
- Provide support to the Document Control Manager to ensure that the Document Control department maintain accurate records and copies of company documentation, either electronically or hard copies.
- Maintain the online Document Management System, ensuring all protocols are followed in relation to relevant ISO standards and QA policies and procedures.
- Act as an Administrator in relation to the online Document Management System.
- Control access to files and documents on the online Document Management System, ensuring individuals are only granted access to materials relevant to their job role.
- Check documents received from internal and external parties to ensure compliance with our QA requirements.
- Ensure all project information is up to date and distributed to relevant recipients, managing both hard copy and electronic versions of information as required.
- Issue and receipt of documentation to the clients CDE and subsequent upload to VFP.
- Assisting employees with accessing documents through our document management system.
- Assist in the production of H&S File and O&M Manuals and any other documentation for project handover.
- Maintaining the security of confidential documents.
- Ensuring the secure destruction and disposal of sensitive documents.
- Maintain confidentiality around commercially sensitive information and terms of agreement.
- Assist with production of reports and documents as required.
- Provide training to all new employees in the business on the use of the online Document Management System.
- Provide telephone cover for the company receptionist during times of breaks etc.
Qualifications & Experience
- A minimum of 3 years experience in a similar Document Control role.
- Strong IT skills, to include working knowledge of MS Office. Experience with using a Document Management System would be an advantage.
