Our client, a well-established and forward-thinking public sector organisation, is seeking a highly organised and professional Executive Support Administrator to provide comprehensive administrative support to Senior Managers and key stakeholders. This is a pivotal role acting as the first point of contact for the executive function, requiring excellent communication skills, sound judgement and the ability to manage sensitive and confidential information with discretion.
Key Responsibilities- Acting as the first point of contact for telephone, email and written enquiries, using judgement to escalate or refer matters appropriately
- Providing comprehensive administrative support, including diary management and attendance at meetings
- Coordinating meetings and visits, ensuring papers, rooms, resources and refreshments are prepared and visitors are welcomed professionally
- Supporting key committees and meetings, including the collation and distribution of papers
- Acting as a key liaison point between Senior Managers and internal and external stakeholders
- Managing correspondence efficiently and taking ownership to resolve issues promptly
- Maintaining accurate administrative records, including sickness absence returns and holiday cover rotas
- Processing administrative work such as filing, photocopying and document distribution
- Complying with financial procedures and maintaining administrative and financial records
- Supporting wider college activities that enhance the student experience, including open events, enrolment, invigilation and graduation ceremonies
- Ensuring confidentiality is maintained at all times in line with College policies and procedures
- Participating in mandatory training and continuous professional development
- Contributing to a safe learning and working environment in line with Health & Safety and Safeguarding requirements
- Proven experience in an administrative or executive support role, ideally within an education or public sector environment
- Excellent organisational, communication and interpersonal skills
- Ability to manage multiple priorities and work effectively under pressure
- High levels of discretion and professionalism when handling sensitive information
- A proactive, flexible and customer-focused approach
