Hours: 08:00-17:00, Monday to Friday
Contract: Permanent, Full Time
Start: ASAP (happy to wait for notice)
Location: East London (Docklands). Fully site-office based, 5 days per week (ONSITE)
Are you the super-organised, unflappable administrator who keeps a busy project team on track, and would you love to do it somewhere a little more exciting than your average office? How does working on a live airport project sound?
Culture Guru is recruiting a proactive, detail-driven Project Administrator for a well-established, growing construction and fit-out contractor. You'll be based in the project office of a high-profile live airport scheme, supporting the project team and senior leadership with everything from security vetting and site passes to document control and project events.
This role would suit an administrator who loves variety and takes real pride in getting the detail right. One minute you'll be running ID checks and processing security pass applications, the next you'll be logging drawings, pulling together a board report or organising a client lunch. Being trusted, discreet and reliable is a big part of this one, as you'll handle confidential personal data and control who gets access to a secure environment.
You'll join a friendly, supportive project team and work closely with Project Managers, Directors and the client team. You'll see a major project through from live works to handover, and you'll build skills in document control, compliance and project coordination that will open doors across the industry. Please note this is a fully office-based role on the project, five days a week, with no hybrid or remote working.
Responsibilities of the role, but not limited to:
- Owning the project’s security access process, including managing both general and restricted-zone passes for staff and subcontractors
- Gathering everything needed for permanent and temporary pass applications, such as employment references and background (DBS) checks
- Carrying out identity verification and security interviews with applicants
- Booking and tracking mandatory security and safety training for the team
- Providing day-to-day administrative support to the wider project team
- Supporting the preparation of quotations and liaising with site teams and facilities managers
- Organising key project events such as client meetings, team lunches and milestone celebrations
- Helping senior leadership with occasional reports, business plans and sales documents
- Setting up and maintaining the team’s annual leave tracker
- Logging, filing and distributing incoming drawings and design documents to support the Design Manager
- Helping compile handover and Operation & Maintenance (O&M) manuals so the client receives approved, final documents at completion
- Collating and archiving all project files at the end of the job so everything is easy to find
- Ordering stationery, plus scanning, printing and binding documents when needed
Desirable attributes of the successful candidate:
- Previous administration experience, ideally within construction, a project team or a secure/regulated environment
- Experience with ID checks, vetting, onboarding or handling confidential personal data (a real bonus)
- Some exposure to document control would be a big plus
- A smart, professional appearance and a polite, confident telephone manner, as you'll deal with clients and members of the public
- A clear, articulate communicator, both written and verbal
- Exceptional organisation and attention to detail
- Proficient in Microsoft Office
- Comfortable working on your own initiative as well as part of a team
- Flexible and able to reprioritise a changing to-do list without losing track
- Able to build great rapport with colleagues, the client team and subcontractors
- Educated to GCSE grade C / level 4 (or equivalent) in English and Maths as a minimum
- Trustworthy, reliable, friendly and with a genuine "can do" attitude
What's in it for you:
- 25 days' holiday plus bank holidays, and a Christmas shutdown on top of your allowance
- Discretionary bonus scheme
- Private medical insurance for you, your partner and children under 25
- Regular medical check-ups, plus initial private GP consultations paid for
- Life assurance at 4x salary and income protection
- A strong wellbeing network, including wellbeing champions and access to counselling and support services
- Company pension with a 5% employer contribution
- Season ticket loan to help with your commute
- Cycle to Work scheme
This is a fantastic opportunity to build a long-term career with a growing business, working on a project most people only ever see from the departure lounge!
