Job Description
The Office Administrator plays a pivotal role in supporting the Executive team (which includes the Executive Assistant to Group CEO, Group CEO, Deputy CEO, CFO, and CPO) with the smooth running of executive priorities, board level activities, and group wide initiatives, acting as a trusted partner. Our ideal candidate will provide professional, warm and efficient customer service and administrative support to the stakeholders. A successful Office Administrator will create accurate data, with the ability to work to deadlines and contribute to overall success.
Key duties of an Office Administrator:
- Support the Group Executive Assistant on daily priorities (including help with Executives' expense claims), operational board activities, and strategic initiatives/projects.
- Liaise with senior external stakeholders and third parties on behalf of the Executive Assistant.
- Maintain effective internal communication channels with the executive teams.
- Build strong networks within the group and act as a connector between functions, business units, and leadership.
- Assist in organising and coordinating Senior Leadership meetings, events, and internal engagement initiatives.
- Oversee general office administration including meeting room bookings, facility management (logging tickets), coordinating lunch catering, updating the H&S register at reception for staff & visitors, visitor management, general office upkeep, handling postal services, requesting access cards for new joiners, raising Purchase Orders, ordering office stationery, general data entry, and maintaining office files and note taking.
- Answer incoming calls, take messages and redirect calls as required.
- Provide a full and comprehensive administrative service to internal and external stakeholders.
- Assist with ad-hoc office projects and undertake such other duties as may be required from time to time, that reasonably fall within the scope and grade of the post.

- Confident user of Microsoft Office.
- Excellent attention to detail and organisational skills.
- Flexibility and ability to multi-task without close supervision.
- Demonstrating tact and diplomacy, as well as confidentiality and discretion.
- Able to make decisions under pressure, and work to a tight timescale.
- Excellent communication and interpersonal skills, with the ability to engage with senior stakeholders.
- Positive, proactive, can-do attitude and willing to do what it takes to get the job done and meet tight deadlines.
