Summary

The role of the Production Coordinator is to oversee the repair process from start to finish. You will work with all departments within the collision facility to facilitate an efficient repair process. Your main responsibility is to ensure a safe, efficient, and high-quality finished product.

Primary Objectives of the Role

  • Coordinate repairs from initial to final key.
  • Maintain a sense of urgency regarding completion targets.
  • Adapt to moving targets and changing priorities.
  • Keep technician staff efficient, track efficiencies, and assign work to maximize throughput.
  • Ensure technicians have the necessary resources to proceed with repairs.
  • Plan scheduled repairs proactively, prepare technical staff, stage parts, and select paint codes/variants.
  • Collaborate with all departments for smooth repair flow.
  • Understand performance KPIs (Touch time, Cycle Time).
  • Focus on process improvements to eliminate bottlenecks.
  • Conduct production or pitch meetings to set expectations, guide repair flow, and discuss targets.
  • Prioritize repairs to meet shop targets.
  • Assist with supplements following shop policies.
  • Research repairs against OEM procedures and provide technical documentation.
  • Hold regular meetings with front-end staff to review WIP status, communicate delays, and update insurers and customers.
  • Engage estimators with the technical team to improve estimating skills.
  • Monitor shop safety and ensure health and safety guidelines are followed.
  • Maintain shop cleanliness and proper disposal of waste materials.
  • Conduct quality control checks throughout the repair process to ensure compliance with estimates.
  • Participate in scheduling to balance workload effectively.
  • Ensure vehicles are stored safely, covered, and locked as needed.
  • Arrange sublet services such as calibrations, tinting, PDR, wheel services, alignments, and film applications.
  • Identify opportunities for advanced repair planning (ARP).

Job-Related Technical Knowledge

  • Utilize Mitchell Connect and Audatex software.
  • Understand the repair process flow in the shop.
  • Have in-depth knowledge of OEM repair procedures.
  • Follow health and safety guidelines rigorously.

Qualifications and Experience

  • Up-to-date compliance training (AODA, WHMIS, Worker Health & Safety, Workplace Violence & Harassment) and knowledge of PIPEDA.
  • Experience with Mitchell Connect and Audatex (additional systems can be specified).
  • 2-3 years of experience in automotive or collision repair industry.
  • Valid Class 5 Driver\’s License.
  • Knowledge of insurance DRP practices/guidelines.
  • IAN-CAR training is an asset (specify type, e.g., I-CAR Collision Repair, I-CAR Estimating, etc.).
  • Proficiency in Microsoft Office and other relevant software.
  • Professional appearance and excellent customer service skills.
  • Experience with advanced repair planning systems.
