This position owns the physical and administrative flow of materials, including receiving, dispatching, auditing, reordering, vendor interfacing, courier coordination, and ensuring full compliance with company processes. The role also oversees the rollout and continuous improvement of the RMA process, including tracking, documentation, return shipments, vendor communication, and cost recovery. The Logistics Coordinator will visit the warehouse regularly to receive deliveries, complete audits, manage inventory accuracy, and maintain day-to-day oversight. The role does not need to be warehouse-based daily but must live within a short distance to support timely operations.
Responsibilities
- Own all inbound and outbound logistics for the UK BESS Service team.
- Coordinate with couriers, vendors, technicians, and warehouse staff to ensure timely movement of parts and materials.
- Receive, inspect, and verify deliveries at the warehouse; ensure correct documentation and system updates.
- Conduct regular warehouse audits to ensure inventory accuracy, compliance, and readiness.
- Oversee day-to-day warehouse activity, storage layout, cleanliness, and operational efficiency.
- Maintain accurate stock levels and reorder triggers in coordination with the BESS Coordinator/Planner.
- Prepare and dispatch shipments to technicians, project sites, partners, and vendors.
Spare Parts, Inventory & Cost Control
- Manage the spare parts lifecycle including usage tracking, reorder planning, and replenishment.
- Conduct periodic cycle counts and full inventory audits.
- Maintain the spare parts register and reporting inside the CMMS (ClearDesk or equivalent).
- Ensure all parts movements (used, returned, scrapped, transferred) are accurately recorded.
- Identify cost recovery opportunities and support invoicing for damaged or misused parts.
- Monitor vendor pricing, delivery performance, and stocking strategies to reduce costs and improve availability.
RMA Process & Vendor Interface
- Lead the rollout of the RMA process across the UK service operations.
- Track all defective part returns, including movement reports, return authorisations, shipping, and vendor approvals.
- Maintain clear documentation throughout the RMA lifecycle for audit and compliance purposes.
- Coordinate with vendors to ensure timely resolution, replacements, or cost credits.
- Produce weekly and monthly RMA reports and performance KPIs.
Operational Support & Planning Interface
- Work closely with the BESS Coordinator/Planner to ensure materials are ready for scheduled work.
- Provide real-time updates on stock readiness, delivery dates, and logistics risks.
- Support the development and optimisation of SOPs relating to logistics, RMA, spares, and warehouse operations.
- Assist with procurement activities including purchase requests, vendor screening, and delivery tracking.
- Support cost recovery efforts through accurate documentation, return tracking, and inventory accountability.
Compliance & Administration
- Maintain all documentation for logistics, RMAs, audits, deliveries, and inventory.
- Ensure compliance with company policies, health & safety requirements, and audit controls.
- Review and verify logistics and warehouse records for accuracy and completeness.
- Perform other duties and projects as assigned by management.
Qualifications & Experience
- Bachelor’s degree, diploma, or equivalent experience in logistics, supply chain, operations, or a technical field.
- Minimum 2+ years experience in logistics, warehousing, spare parts management, or service operations.
- Experience in renewables, electrical services, or technical field service environments preferred.
- Strong understanding of inventory control, warehouse operations, and logistics best practices.
- Familiarity with RMA/returns processes or vendor warranty processes (highly desirable).
- Proficiency in Microsoft Office Suite, especially Excel.
- Experience with CMMS/ERP systems (ClearDesk, SAP, Oracle, etc.) preferred.
- Excellent communication, organization, and time-management skills.
- High attention to detail with the ability to manage multiple tasks simultaneously.
- Valid driver’s licence and reliable vehicle; ability to travel to the warehouse as required.
- Ability to lift and handle packages as part of warehouse receiving duties.
- Ability to work independently and within a team structure.
The Logistics Coordinator – BESS Services is responsible for all day-to-day logistics, warehouse-facing activities, spare parts control, RMA process execution, and cost recovery for the UK Service operations.
