Position Overview

As an Events and Promotions Coordinator, you'll oversee all aspects of event planning, from conception to execution and post-event, ensuring seamless logistics and timely delivery of marketing elements.

Your role involves coordinating events of varying scales and purposes for both the firm and its clients, requiring meticulous organisation and effective communication to ensure success.

This role requires frequent international travel.

Key Responsibilities

  • Breakfast briefings
  • Dinners
  • Conferences
  • Exhibitions

The above events are delivered against multiple timelines, budgets and vary in complexity. Duties will include and not be limited to:

  • Events
  • Identifying relevant industry events
  • Creating exposure for the brands by creatively tailoring events
  • Maintaining a full industry events schedule
  • Putting together event plans
  • Researching events that fit the client strategy and plan
  • Collaborating with senior management and executives to determine objectives
  • Liaise and negotiate with vendors, exhibitors, and stakeholders before and during the event planning process to ensure everything is in order.
  • Coordinating all event logistics prior, during and after the events, including arranging visas, travel and accommodation for clients attending events.
  • Collaborating with the marketing team for design, layout and production of any event marketing materials, as well as planning promotions for events.
  • Providing post-event summaries to include attendance statistics, evaluation summaries, and budgets.
  • Liaising with external suppliers and agencies in line with regional events activity
  • Ability to identify relevant marketing channels and content for each event based on audience type and available media.
  • Providing quarterly reports for each brand
  • Travel required.
  • Promotional gifting/display
  • Identifying relevant promotional gifting, novelty items and display branding material mainly used for events, but not limited to.
  • Working with suppliers to produce and brand the relevant marketing collateral.
  • Execution and maintenance of collaterals
  • Managing stock levels and display quality control
  • Sharing event stock report with accounts for budget control.

  • Experience in event management
  • Good understanding of B2B and B2C marketing
  • Excellent MS Office capabilities, especially Outlook, Word, Excel, and Power Point.
  • Use of a project management tool such as Asana, Monday. com or Trello is an advantage.
