Role purpose: To support the smooth running of HR, administration, IT coordination and organisational events. The role works closely with the Business Operations Manager, the Director of Finance and Business Operations and colleagues across the charity to ensure a positive employee experience and effective internal systems.
Key accountabilities:
- HR and People Support
- Support the employee experience by assisting with a range of HR services including recruitment, safer recruitment checks, onboarding and induction processes.
- Support ongoing employment tasks including contract variations, pension enrolment and other employment changes.
- Provide HR administration across the charity, including maintaining Management Information Systems (external HR portal).
- Advertise roles, respond to recruitment enquiries, process application packs and draft interview schedules.
- Support interview panels and communicate appointment decisions and employment details.
- Carry out auto-enrolment of new staff onto HealthShield.
- Administration
- Provide administrative support to the Business Operations Manager and the Director of Finance and Business Operations.
- Coordinate internal and external Learning and Development events, fundraising events and other organisational activities.
- Research and recommend relevant sector events to help maintain positive relationships with local charities and services.
- IT and Systems
- Work with the external IT support provider to order new equipment and help maintain existing systems.
- Keep an up-to-date register of all IT equipment assigned to staff.
- Carry out regular audits of IT equipment.
- Events and Communications
- Support the planning and delivery of the CDI Team Day Out, Learning and Development Days and the AGM.
- Work with the Business Operations Manager, Marketing Apprentice and wider team on social media campaigns and promotion of CDI services.
- Maintain the marketing database and ensure information is accurate and current.
- Support the coordination of the events calendar for Awareness Days and wellbeing activities for staff.
Person Specification (Knowledge, Job Related Skills, Abilities & Qualifications)
Essential:
- Administrative experience in HR, operations or similar
- Maintaining accurate records and using HR or MIS systems
- Organising events or team activities
- Communicating professionally with a range of stakeholders
- Understanding of HR admin including onboarding and safer recruitment
- Strong organisational skills and ability to prioritise
- Confident using IT systems, databases and Microsoft Office
- Handling confidential and sensitive information appropriately
- Strong written and verbal communication
- High attention to detail
- Ability to use initiative and solve problems
- Friendly and approachable
- Flexible and willing to support varied tasks
- Proactive and improvement focused
