About the Role

At Crown Information Management we specialise in the secure storage, management, and retrieval of company data and records, both physical and digital. Our mission is to keep information safe and accessible, helping businesses meet compliance needs and manage risk efficiently. As part of the team you'll ensure confidential records are collected, stored, and retrieved securely. Your work helps protect data, support business operations, and maintain client trust at every stage. The Digital Services Administrator is responsible for delivering all administrative and configuration tasks that support the setup, onboarding, and ongoing management of digital solutions for Crown Information Management clients. This role ensures that user profiles, licences, system access, and documentation are set up accurately, securely, and on time — meeting the standards of Crown, the client, and relevant compliance requirements.

What You’ll Do

  • Create and configure user accounts across digital platforms (e.g., ECM systems, digital repositories, workflow tools).
  • Allocate, activate, and manage user licences based on client entitlement and contractual terms.
  • Support set-up activities for new digital service clients including form creation, metadata templates, workflows, and naming conventions.
  • Maintain accurate logs of system changes, licence usage, configuration updates, and technical dependencies.
  • Ensure platform configuration aligns with Crown information governance and security requirements.
  • Work closely with Technical Services, Project Managers, and Account Managers to ensure a smooth onboarding experience.
  • Provide clear updates to internal teams on the status of setup tasks, licence allocation and administrative requirements.

What We’re Looking For

  • Strong administrative or coordination experience, ideally in a technical or digital environment.
  • Excellent attention to detail and accuracy when managing data, licences, and user profiles.
  • Comfortable working with digital platforms, cloud tools, and system administration tasks.
  • Strong organisational skills with the ability to manage multiple requests simultaneously.
  • Familiarity with ITIL or structured service desk processes.
  • Experience with ECM systems (e.g., M-Files, SharePoint, Laserfiche, OpenText).
