Job Description

About The Role:

An established and well-known architecture studio is looking for a Executive Assistant/Personal Assistant to join their team in London. They are renowned for their successful contribution to a diverse range of projects, including residential, educational, cultural, and urban developments.

In this newly created role, you will provide high-level support to two Directors, with key responsibilities including diary and email management, meeting coordination, and document preparation (strong InDesign skills are essential). You’ll also play an active role in internal HR initiatives, support board-level activities, and contribute to the smooth running of studio-wide operations. The role also includes an element of project support, making it ideal for someone with a keen graphic eye, exceptional organisational skills, and a sharp attention to detail – note, alongside the strategic elements of the role, hands on responsibilities are included.

Our client has an impressive benefits package which includes a mentoring program, flexible working arrangements, and a diverse array of wellbeing events and social activities.

Key Responsibilities:

  • Provide EA support for two Directors (diary management, minute meetings, travel booking, and inbox coordination)
  • Assist with HR administration and maintenance of confidential employee records
  • Produce project documents and reports using InDesign, ensuring layout consistency and attention to detail
  • Manage and maintain up-to-date project records
  • Manage meetings, travel, and logistics for project and practice-wide activities
  • Contribute to studio-wide communications, events, and provide ad-hoc administrative support as needed

Key Skills/Requirements:

  • Strong EA or PA experience, preferably in a creative or design-led environment
  • Highly organised with excellent time management and ability to prioritise under pressure
  • Confident communicator with a calm, professional manner
  • Trustworthy with experience handling confidential information
  • Excellent presentation and document layout skills
  • Effective team player with a positive, can-do approach
  • Proficient in Microsoft Office, particularly Word, Excel, and Outlook
  • Adobe InDesign and Photoshop are essential, with an eye for detail and visual consistency
