The Resource Operations team is responsible for the management and effective scheduling of our resources for all our client engagements. At Crosslake, our resource is our people; project delivery teams made up of an unmatched community of highly skilled professionals, including FTEs and practitioners—architects, engineers, consultants, and former CTOs and CIOs.
As a Resource Coordinator, you’ll play a key role in supporting the management of our resource pool. You’ll act as a primary point of contact, keeping consistent communication with resources to provide real-time visibility of availability and skills, along with driving timely updates, reporting and administration activities.
Working across Salesforce, Suite Projects Pro and our internal tracking tools, you’ll help maintain a single, trusted view of capacity and project timelines so stakeholders can rely on accurate resourcing data. This is a remote role working autonomously, prioritising your workload, driving follow-ups, and keeping systems up to date while collaborating with the team via Slack, email and Zoom. You will also have access to the Manchester City Centre hot desking office.
Key Responsibilities- Maintain accurate data around skills, expertise and project assignments in all internal systems.
- Proactively and systematically engage with resources to understand and track availability, including project timeline and commitment changes.
- Support the Resource Manager in identifying and matching requested skills and experience within the resource pool to meet project requirements.
- Support the Resource Manager by ensuring resource availability and project changes are communicated and documented correctly, timely and with relevant context.
- Report on daily global resourcing availability.
- Supporting correct and timely system administration.
- Provide coordination support for resource onboarding activities.
- Excellent communication, both written and verbally, with the ability to deliver concise summaries and relay specific details efficiently to senior stakeholders.
- Highly organised with strong prioritisation skills; able to manage multiple concurrent requests and shifting timelines in a fast-paced, deal-driven environment.
- Demonstrated ability to pull together information from multiple sources, reconcile discrepancies, and have a holistic view of team, project and operational needs.
- Strong attention to detail and a “data hygiene” mindset; able to maintain accuracy across multiple systems and spot inconsistencies before they become issues.
- Confident problem-solver who can surface conflicts early and propose practical options and trade-offs.
- Takes initiative and has a willing, collaborative attitude.
- Proficient in Microsoft - particularly Excel and Outlook.
- Comfortable learning and working across systems (e.g., Salesforce, Suite Projects Pro, internal skills/availability tools); quick to come up to speed on new tools and processes.
- Experience in dealing with varying levels of seniority.
- Experience in resource coordination, scheduling, staffing operations, project coordination, or professional services operations is highly desirable.
- Exposure to private equity-backed environments, M&A/technology due diligence, or time-sensitive deal contexts is a plus; ability to learn quickly is required.
- Able to identify opportunities to improve templates, taxonomies, and workflows that increase accuracy and reduce turnaround time (process improvement is encouraged but not required).
