A prestigious global investment firm is seeking a highly capable Executive Assistant to join its London office on a 1-year fixed-term contract. This position will provide direct administrative and organisational support to a team of professionals within the Real Estate investment group.

Role Responsibilities

  • Manage calendars and coordinate meetings (internal/external)
  • Arrange complex, multi-leg travel itineraries across time zones
  • Organise and track logistics for conferences, investor meetings, and industry events
  • Handle phone coverage and gatekeeping responsibilities
  • Maintain contacts and interaction records using Outlook and Salesforce
  • Maintain databases (CorpAxe) and assist with CRM updates
  • Prepare and submit multiple detailed expense reports
  • Coordinate video and conference calls
  • Track team holiday and time-off schedules
  • Support on ad hoc administrative and special projects

Key Qualifications

  • Bachelor’s degree required
  • Minimum 7 years’ relevant experience in financial services, preferably supporting investment professionals
  • Proactive, self-starter with excellent judgment and attention to detail
  • Highly organized and capable of managing multiple priorities in a fast-paced environment
  • Strong communication skills and a professional, client-facing demeanor
  • Skilled in Microsoft Office Suite (Outlook, Word, Excel); Salesforce experience preferred
  • Experience coordinating international travel; flexibility to assist during evenings/weekends as needed
