Personal Assistant & Investor Relations Assistant

Hybrid role: 4 days in the office and 1 day working from home. Temporary to permanent opportunity starting end of September or early October. Salary: £45,000 – £55,000 plus annual company bonus.

Main duties – Team PA

  1. Manage and coordinate partner and front office diaries.
  2. Arrange travel for partners and front office staff, including flights, trains, taxis, hotels, visas, etc.
  3. Produce itineraries and coordinate trip documents.
  4. Complete expense claim forms for team members.
  5. Maintain and update Outlook contact details.
  6. Handle out-of-office responsibilities, filter emails, and delegate tasks.
  7. Assist in preparing presentations using PowerPoint, Word, etc.
  8. Support Office Manager with team events, investor marketing, and meetings.
  9. Set up and test VC facilities in meeting rooms.
  10. Scan, file electronically, and manage paper filing.
  11. Arrange refreshments and lunches for meetings.
  12. Research and book restaurants for partner meetings.
  13. Meet and greet guests as needed.
  14. Assist with preparing meeting agendas and presentations.
  15. Arrange postage and couriers.
  16. Provide cover for Office Manager’s essential tasks.
  17. Handle occasional emergency personal admin tasks.
  18. Perform other administrative tasks as required.

Main duties – Investor Relations Assistant

  1. Support the Head of Strategy and Investor Relations with daily activities and strategic initiatives.
  2. Manage enhancements and maintenance for the LP portal to ensure accurate information delivery.
  3. Streamline onboarding systems for new investors, ensuring a smooth post-investment process.
  4. Coordinate production of IR presentation materials and marketing collateral.
  5. Plan and execute bi-annual LPAC visits, industry conferences, roadshows, AGMs, and update calls, managing all logistics.
  6. Create creative banners, signage, and swag for events.
  7. Update LinkedIn and social media channels in collaboration with external vendors.
  8. Develop impactful investor profiles.
  9. Manage relationships with external vendors, including negotiations.
  10. Identify and implement CRM system improvements.
  11. Manage IR vendors and negotiate rates.
  12. Attend bi-weekly placement agent meetings during fundraising.
  13. Assist with IR calendar management and log investor activity.
