The Centre Manager is to ensure that the overall management of the Centre runs smoothly, including the management of the main service contracts whilst maintaining a safe and pleasant environment for customers and visitors to the Shopping Centre through the management of Health & Safety systems and the promotion of best practice in carrying out all tasks.
Duties and Role:-
Communication
- Develop strong relationships with all Tenants.
- Maximise retail sales opportunities for Tenants.
- Build relationships with the wider community and stakeholders including relevant local authority personnel; elected Councillors and Member for Parliament.
- Be actively involved with the North London Chamber of Commerce and Enterprise and other local business organisations that may assist with the future business and commercial development of the Centre.
- Organise and manage regular Tenant meetings and provide feedback and Minutes of Meeting to the Asset Management department.
Service Contracts, Maintenance & Statutory Compliance
- Working with tenants and occupiers to ensure that compliance with statutory regulations is always undertaken.
- Managing all service contracts and arranging reactive maintenance as required.
- Managing and reviewing the Planned Preventative Maintenance (PPM) programme in place under guidance from the Property Management team.
- Maintain accurate records of correspondence, lease information, contractors on site, file notes on all meetings with retailers and any other relevant information that should be maintained to provide a proper audit trail
- Ensure that each retailer adheres to their lease and Tenant Rules and Regulations.
- Regular reporting and liaison with the Property Management and Facility Management departments.
- Undertake daily checks of the centre and that all remedial works are undertaken within a reasonable time.
- Liaise with tenants, Police, and other Key Stakeholders in all matters of security affecting the Centre’s various occupiers and the Centre common areas.
- Managing the collection, processing, and disposal of all waste; maintaining appropriate records.
- Control and supervise the security operation.
- Control and supervise the cleaning operation.
- Arrangement of insurance inspections & manage insurance claims (as applicable).
Cost Management, Financial Control, and Invoice Processing
- Checking of invoices and receipts prior to authorisation and correct coding of invoices within agreed timescales.
- Keep accurate financial records and reporting.
- Monitoring of all budgets, expenditure and forecasting.
Centre Management Reporting
- Writing up detailed quarterly Centre Reports for submission to the Asset Management department and the Board.
- Work with the Property Management team to formulate Service Charge budgets and assist with reconciling of Service Charge year end accounts.
Marketing & Income
- Managing and promoting the Centre Marketing strategy including regular updates; promotions; and use of social media and the Centre website to maximise publicity – in conjunction with the Group Head of Communications
- Manage car parking arrangements and report on income and usage.
- Work closely with the Asset Management team in relation to mall income and the re-letting of vacant units and RMU’s within the Centre.
Requirements and Skills:
- An energetic personality with enthusiasm and passion for the role.
- Hardworking, detailed and organised.
- Full awareness of Health and Safety protocols designed to protect the customers, staff, and the overall Centre.
- Excellent oral and written communication skills.
- IT proficient and experience of using Microsoft packages, including Word, Excel and PowerPoint with the aptitude to learn in-house systems. Experience of Yardi is beneficial but not essential.
- Experience of service contract management &scheduling with proven time management skills.
- Experience in commercial Lettings and an understanding of Licences and Leases.
