The Hospitality Marketing Coordinator is a pivotal support role designed to drive operational efficiency across both offline and digital marketing channels. Reporting to the Hospitality Marketing Manager, this position provides day-to-day execution support across all marketing initiatives within the hospitality portfolio (e.g., Zedwell, Assembly, Indigo). A core mandate of this role is versatility and operational continuity. The Coordinator acts as the central execution engine for the department and is fully trained to step up and provide seamless cross-coverage for both the Hospitality Marketing Manager and the Digital Marketing Manager during periods of annual leave or business travel.

Key Priorities & Scope of Responsibilities

  • General Execution & Operational Support
    • Campaign Delivery: Assist in setting up, coordinating, and launching revenue-focused campaigns across both physical properties and digital platforms.
    • Collateral & Production Coordination: Liaise with print vendors, designers, and suppliers to manage the production, delivery, and installation of physical signage, print media, and in-room collateral.
    • Property Asset Audits: Conduct routine inspections of physical assets across all properties to ensure print collateral, signage, and promotional displays are current, undamaged, and aligned with brand standards.
    • Administrative & Budget Tracking: Assist with processing purchase orders, logging agency invoices, and tracking project-based marketing expenditures.
  • Digital Marketing Support
    • Content Scheduling & Social Media: Draft and schedule routine organic social media posts, stories, and basic promotional updates across asset channels.
    • Website & Portal Asset Updates: Assist the Digital Marketing Manager with basic CMS updates, upload new imagery/copy, and monitor local OTA page accuracy.
    • Database & Direct Marketing: Prepare draft templates and asset layouts for guest newsletters, promotional emails, and loyalty updates.
  • Leave Coverage & Business Continuity
    • Marketing Manager Cover: Step in during planned leave to manage urgent property-level marketing requests, oversee physical collateral deployment, and maintain communication flows with operational teams.
    • Digital Marketing Manager Cover: Step in during planned leave to monitor active digital campaigns, handle basic web updates, oversee social channels, and elevate critical technical issues if required.

Key Skills & Qualifications

  • Broad Marketing Exposure: High level of comfort working across both offline promotional channels (print, local area marketing, signage) and digital channels (social media, CMS platforms, email templates).
  • Organizational Ability: Exceptional attention to detail, strong time-management skills, and the ability to multitask across several ongoing projects simultaneously.
  • Agility & Adaptability: Confidence to step into higher-level responsibilities and manage day-to-day workflows independently when managers are away.

Governance, Reporting & Review Structure

  • Day-to-Day Tasking: Direction and weekly priorities will be provided jointly by the Hospitality Marketing Manager and Digital Marketing Manager.
  • Weekly Updates: Participate in weekly commercial marketing catch-ups to align on execution timelines, campaign launches, and upcoming leave schedules.
  • Formal Performance Reviews: Quarterly performance evaluations conducted by the Hospitality Marketing Manager, with feedback input from the Digital Marketing Manager and Head of Commercial.
