We are seeking a highly organised and driven Events & Sales Coordinator to join our team and play a central role in converting venue enquiries into successful, well-executed events. This is a dynamic, client-facing role ideal for someone with a passion for hospitality, a talent for logistics, and a keen eye for detail. The successful candidate will manage inbound enquiries, coordinate all event details, and provide outstanding client service from start to finish. Experience with the Collins booking system is essential, as is a proven ability to convert enquiries into sales and manage multiple bookings with precision and professionalism.

Key Responsibilities:

  • Enquiry Management & Sales Conversion
    • Respond promptly to all inbound enquiries via phone, email, booking system, and third-party sources
    • Deliver tailored proposals and venue options based on client needs
    • Use the Collins system to log, track, and manage bookings
    • Follow up on leads and maintain clean, accurate records within the system
    • Apply up-selling and cross-selling techniques to maximise revenue
  • Client Relationship Management
    • Build and maintain positive relationships with both new and returning clients
    • Offer professional and responsive support throughout the event journey
    • Handle client concerns with efficiency and professionalism
    • Drive repeat business by delivering an exceptional client experience
  • Event Planning & Execution
    • Take ownership of each event, from concept through to delivery
    • Create and manage event documents including run sheets, timesheets, contracts, and invoices
    • Coordinate site visits and oversee payments and approvals
  • Event Logistics & Coordination
    • Liaise internal operations teams & management, and other stakeholders to ensure every detail is accounted for
    • Communicate clearly and efficiently across different departments within the wider business
    • Troubleshoot and resolve any issues to ensure seamless event execution
  • Administrative & Sales Support
    • Support the Sales Manager with day-to-day administration
    • Produce regular reports on enquiries, bookings, and conversion rates

Essential Skills & Experience:

  • Minimum 2 years’ experience in a sales and events coordination role
  • Proven experience using Collins booking system is a must
  • Strong organisational and time management skills with the ability to multitask
  • Excellent written and verbal communication skills
  • High attention to detail with a proactive, solution-focused approach
  • Confident using CRM tools, spreadsheets, and basic financial records
  • A positive, can-do attitude and a passion for delivering high-quality events
