Criterion Capital is a leading London-based real estate investment and management company, specialising in the ownership and operation of high-profile commercial buildings across the West End and Central London. Our portfolio includes office, retail, leisure and mixed-use assets, all managed to high operational, compliance and service standards.
We are now looking for an organised and proactive Facilities Coordinator to support our Commercial Facilities Management team, helping to ensure day-to-day operations, reactive works and planned maintenance are coordinated efficiently across the portfolio.
The Role
This is a hands-on coordination role supporting live commercial assets. You will be responsible for logging and managing maintenance activity, coordinating engineers and contractors, chasing progress, and ensuring accurate communication with internal teams and commercial tenants. You’ll work in a fast-paced environment, providing vital operational support to the Facilities Managers and helping maintain visibility, control and service standards across the portfolio.
Key Responsibilities
- Log and manage all reactive and planned maintenance requests via the job management system (Yardi or similar).
- Triage and prioritise jobs based on urgency, H&S risk, and operational impact.
- Allocate jobs to engineers and contractors, coordinating access with tenants and site teams.
- Track job progress, chase updates, and ensure timely close-out with supporting documentation.
- Liaise professionally with commercial tenants, contractors and internal property teams.
- Prepare and issue contractor quotations for review and approval.
- Maintain accurate job records to support service charge, audit and FM reviews.
- Support coordination of statutory inspections and PPM visits (fire systems, lifts, HVAC, etc.).
- Escalate delays, access issues or recurring failures to the Senior Facilities Manager.
- Produce weekly dashboards covering WIP, ageing jobs, quotes and key operational risks.
Key Skills & Attributes
- Experience using FM job management or CAFM systems.
- Highly organised with strong attention to detail and the ability to manage multiple priorities.
- Confident, professional communicator when dealing with contractors and commercial tenants.
- Comfortable working in a reactive, operational environment.
- Proactive mindset – takes ownership and follows issues through to completion.
- Good awareness of health & safety, compliance and service delivery expectations in commercial buildings.
Experience Required
- Previous experience in a facilities helpdesk, FM coordination, scheduling or property support role.
- Exposure to commercial buildings or mixed-use assets preferred.
- Strong written and verbal communication skills.
- Ability to work under pressure and manage SLAs effectively.
