Manage and control the flow of all project documentation and maintain project programmes across our portfolio, ensuring that all documents are accurately registered, distributed, and tracked .
Key Responsibilities:
- Report to the Project Manager / Operations Manager.
- Responsible forestablishingand managing the document control system and projectprogrammeacross all active workstreams.
- Utiliseandmaintainclient Electronic Document Management Systems (EDMS) including SharePoint, Aconex, or equivalent platforms.
- Control the receipt, registration, issue, and distribution of all project documents including drawings, reports, specifications, RFIs, TQs, transmittals, and correspondence.
- Maintain document registers and revision logs, ensuring all documents reflect the latest approved version at all times.
- Manage the submission and return of client deliverables, tracking approval statuses, and following up on outstanding reviews.
- Coordinate with CAD designers to ensure drawings are correctly issued, numbered, and archived in line with project drawing standards.
- Ensure document control processescomply withISO 9001 quality management system and client-specific procedures.
- Review and assess Early Warning Notices (EWNs) forprogrammeimpact andassistwith response preparation.
- Attend project progress meetings, taking and distributing meeting minutes andmaintainingaction logs.
- Train and support team members on document control procedures and filing standards.
