We are looking for an experienced Legal Secretary to join our busy and highly regarded Real Estate team based in our Horsham office. Supporting a number of fee earners, you will play a key role in ensuring the team operates efficiently by providing first-class secretarial and administrative support. This is an excellent opportunity for someone who enjoys working in a fast-paced, collaborative environment and takes pride in delivering an exceptional service to both colleagues and clients.

The ideal candidate will have previous experience as a Legal Secretary, ideally gained within a Commercial Real Estate or Property team, and will be confident managing multiple priorities while building strong working relationships.

Key Responsibilities
  • Providing high-quality secretarial and administrative support to a number of fee earners within the Real Estate team.
  • Managing busy diaries, arranging meetings, travel, conference calls and client lunches.
  • Acting as a key point of contact for clients, delivering a professional and responsive service by telephone, email and correspondence.
  • Preparing documents, correspondence and meeting packs, including drafting standard documentation where appropriate.
  • Managing incoming post, emails and telephone calls in the absence of fee earners.
  • Supporting business development activities, including the preparation of pitches, presentations and marketing materials.
  • Maintaining accurate client information on the firm's CRM system.
  • Producing and maintaining Excel spreadsheets, PowerPoint presentations and other documents.
  • Assisting with financial administration, including expenses, residual balances, financial reports and dashboard updates.
  • Organising team meetings and social events.
  • Providing wider administrative support to ensure the smooth running of the Real Estate team.
  • Travelling between office locations on occasion, where required.
About You

You'll be an organised, proactive and professional Legal Secretary who enjoys working as part of a team and delivering outstanding support. You'll also have:

  • Previous experience working as a Legal Secretary within a law firm (essential).
  • Experience supporting multiple fee earners in a busy legal environment.
  • Experience within Commercial Real Estate or Property Law (highly desirable).
  • Excellent organisational skills with the ability to manage competing priorities and deadlines.
  • Strong attention to detail and a high level of accuracy.
  • Outstanding communication and interpersonal skills with a professional telephone manner.
  • A proactive approach and the confidence to work independently using your own initiative.
  • A commitment to delivering exceptional client service.
  • High levels of discretion, professionalism and confidentiality.
  • Strong IT skills, including Microsoft Word, Excel and PowerPoint. Experience of BigHand and Peppermint would be an advantage but is not essential.
