The HR Operations Intern is responsible for supporting all aspects of HR Operations, supporting and reporting to the managers within the HR operations function to ensure compliance and exceptional service delivery.
They ensure the accurate and timely data entry and documentation of all employee life cycle events, resolve HR Operations related queries and provide accurate and insightful process management.
Key Responsibilities
- Ensure highest standards of BAU delivery in the allocated HR Operations activities, including timely and correct data inputs, documentation, reconciliation, invoice processing, etc.
The activities include and not restricted to contracts, screening, onboarding, right to work checks, probation, leavers letters, references, record creation/updation in HR system, international mobility, holidays, regulatory activities, internal audit and governance, benefits, invoicing, offboarding, etc.
- Prepare HR documentation following GDPR guidelines and upload on HR systems accurately and efficiently.
- Process HR actions on various HR systems and update trackers timely, accurately & efficiently.
- Ensure that respective process maps are up-to-date, correct and are followed.
- Ensure that 4-eye check is embedded, implemented and followed in all processes.
- Be the first line of support on HR Operations related HR queries and ensure timely resolution and/or escalation if required.
- Establish yourself as subject matter expert for all the allocated HR Operations areas. Identify areas for improvement in HR operations and recommend solutions.
- Ensure satisfactory and timely closure of any audit or risk management points; put in place mitigants as needed; follow up as needed.
- Coordinate & liaise with HRIS, HRBPs, Tax, ER, HRBPs, Legal & Compliance, Risk Mobility, Regional HR, overseas managers, vendors for ongoing cases, clarification, etc. and as and when required.
- Systems
- Ensure accurate and timely data entry of employee data in HR Systems and all relevant documentation are uploaded and saved.
- Ensure accurate and timely change processing such as cost centre movements, job title changes etc.
- Implement controls such as 4-eye checks and monthly report reconciliation on all processes to ensure data quality and accuracy; (employment documents, right to work, probations, screening results, certifications, etc.)
- Accurate maintenance of HR reports to help identify and prevent potential errors or delays.
- Payroll
- Support the processing of the monthly payroll by ensuring correct payroll inputs.
- Ensure diligent time management is adhered to in keeping to the payroll timetable and schedule.
- Timely resolution of payroll related queries from employees and the Payroll team.
- Projects
- Actively participate and contribute to the allocated projects in HR and contribute to the HR roadmap.
- Understand and gain knowledge in the other areas of HR Operations.
