A well-known lifestyle and fashion brand is looking for a Freelance Event Project Manager / Producer to support a major conference taking place in May 2026. Youβll be embedded with the creative production team, helping deliver shoots, content production, and event logistics from pre-production through to delivery. This is a brilliant opportunity for someone who thrives on organisation, loves the detail and can keep multiple workstreams on track in a fast-paced creative environment.
Key Responsibilities- Pre-Production
- Create production timelines from brief through to go-live
- Build shoot schedules, product lists, call sheets, and shot lists
- Support the Head Producer with campaign, ecom, stylised, and video shoot prep
- Book locations, crew, models, and props
- Manage SLAs, NDAs, travel, and expenses
- Coordinate sample logistics and shipping (including carnets and packing lists)
- On Set
- Assist with packing and handling of products and props
- Work with digi/photographer on file management
- Ensure team is working to schedule and all deliverables are captured
- Post-Production
- Track invoices and reconcile budget trackers
- Raise POs and ensure correct file naming and storage
- Communicate with studio on file release
- Upload files to shared platforms and coordinate with stakeholders
- Work with retouch and video editors to manage delivery against deadlines
- Additional
- Organise castings for new faces and feet
- Support social content creation during busy periods
- Upload ecom imagery when needed
- Essential:
- Previous experience as an Event based PM or Producer (agency, in-house, or brand-side)
- Fantastic attention to detail
- Super organised with excellent multi-tasking skills
- Good knowledge of PowerPoint and Excel
- Basic knowledge of Adobe Creative Suite
- Confident, calm, and resourceful under pressure
- Excellent communication skills
- Able to work independently and as part of a team
- Interest in fashion, lifestyle, or footwear brands (desirable)
- Experience with event or conference production (essential)
Hybrid β London office (Hammersmith area) with some remote flexibility. Expect increased onsite presence during May for conference delivery.
