Description:

We are the UK\’s trusted partner for Prop Hire, Themed Decor, and Furniture Rental for Events. For over 20 years, EPH has been a reliable name in the events industry, with many clients returning since our inception, and our client list continues to grow!

We are seeking an individual to join us as a Business Administration Apprentice. This role supports the Product Owner in coordinating and administering product lifecycle activities efficiently. It bridges the gap between commercial and operational product delivery, providing structured administrative support across sourcing, stock management, supplier information, imagery, and internal systems.

The apprentice will gain valuable experience in product development, procurement, product information management, and inter-departmental collaboration, under the guidance of the Product Owner and in coordination with Product Operations.

This position involves desk-based work and hands-on activities in our warehouse and goods-in areas. It requires a proactive approach to stock checking, product quality assurance, and collaboration with warehouse teams.

Key Responsibilities:

Develop and own relevant areas of our vision and work plans, demonstrating commitment to these objectives.

Administrative Support

  • Enter and update product data, including weights, dimensions, materials, and assembly instructions, based on input from the build and design teams.
  • Raise purchase orders for stock and samples, and communicate order references appropriately.
  • Respond to supplier inquiries regarding invoices and purchase order discrepancies, escalating issues as needed.
  • Order approved product samples and maintain communication with suppliers about delivery timelines.
  • Maintain and update the supplier database, ensuring contact and pricing details are current and shared as needed.
  • Track incoming sample or stock orders and inform relevant teams of delivery statuses or delays.
  • Perform data processing and cleaning tasks to ensure the accuracy of product and procurement records, updating the Product Owner on progress.

Product Coordination

  • Input and maintain product codes, assist with categorization and attributes, communicate status updates, and ensure data fields are complete with clear communication of changes.
  • Support reorganization and streamlining of product listings and databases, suggesting improvements where appropriate.
  • Check incoming deliveries and samples against orders, flag discrepancies, and share findings with relevant teams.
  • Conduct basic quality and specification checks on incoming items and escalate issues as necessary.
  • Liaise with Warehouse, Production, and Product Operations to allocate storage, distribute stock, and inform departments.

Photoshoot & Visual Assets Support

  • Assist with product photoshoots, including scheduling, preparing shot lists, and coordinating with sales and marketing teams.
  • Upload, tag, rename, and organize image files according to internal standards, making assets accessible to relevant departments.

Requirements:

Applicants should be literate and numerate, with Grade C/4 or above in English, Maths, and IT.

Training:

Business Administration Level 3 Standard. This includes on-the-job training guided by a development coach, completion of a recognised qualification, and opportunities for promotion.

Training methods include online learning, classroom sessions, work-based training, independent research, projects, and support. Topics covered include IT, document production, stakeholder management, business fundamentals, planning, processes, project management, and performance management.
