Creation Group is a full service Brand Experience group. We are looking for a Production Coordinator to support the operational and administrative needs of the Production Division. We are seeking a highly organised, detail-driven and proactive personality to join our ever-growing team. The perfect candidate will thrive in a fast-paced environment, comfortable managing multiple tasks and keeping information flowing across teams.
Reporting into the Production Support Manager, you will help maintain the daily operational rhythm of the department by supporting project intake documentation, logistics, supplier liaison and administrative processes across Live Production, Fabrication, Technical Design and Technical Production. You will play an important role in keeping information accurate, organised and up to date as projects move from brief through to delivery. As a key member of the Production team, you will support the Production Support Manager in delivering the department's Control Tower function, ensuring clarity, consistency and seamless communication throughout the Production workflow.
What you will be responsible for:
- Project Intake and Administration: Assist in triaging incoming project briefs, ensuring accurate logging and updating job records and tracking through systems like Asana and Synergy. Support the Production Support Manager in maintaining the central job tracker as the single source of truth for live projects providing clear visibility on status, deadlines and deliverables. Prepare meeting notes, actions and follow-ups for Production teams and chase any missing information.
- Documentation and Operational Support: Support the preparation of departmental reports, dashboards and status summaries. Prepare onsite packs, kit lists and other operational documents and capture data relating to hours, costs, supplier records and asset movements. Prepare and maintain documentation that supports fabrication workflows including asset lists, build information and readiness updates.
- Coordination, Logistics and Supplier Support: Book logistics, deliveries, crew accommodation and suppliers and track asset arrival dates, reporting risks or delays. Liaise with suppliers on day-to-day project enquiries and with the fabrication team on asset readiness, project requirements and more. Gather RAMS and compliance documents.
- Finance and Purchasing Support: Prepare draft purchase orders for approval, gather supplier quotes and support invoice reconciliation through accurate data capture.
- Freelancer and Resource Support: Track freelancer hours, availability and bookings and maintain the freelancer database. Provide administrative support to the Production Support Manager during resource planning and capture notes, actions and deliverables from departmental meetings.
- Stock, Consumables and General Support: Assist with stock takes and update stock records and order consumables and materials within approved limits. Support central services with supplies and minor administrative tasks.
