Who We're Looking For

We are looking for an attentive and responsible Office Assistant to join our office in London (on-site) and become a reliable backbone for our team in day-to-day operational matters.

This role is a perfect fit for those who are just starting their career - experience is welcome, but we are ready to train the right person.

Responsibilities

  • Own the day-to-day operations of the London office, ensuring a well-organized, efficient, and welcoming workplace environment.
  • Partner with internal teams, including IT, Marketing, and other departments, to coordinate office operations, workplace services, equipment, company merchandise, and cross-functional initiatives.
  • Collaborate with vendors, suppliers, landlords, and service providers to ensure the seamless delivery of workplace services, office maintenance, procurement, and operational support.
  • Support employee onboarding and offboarding by coordinating office access, welcome packs, equipment, workplace setup, and administrative processes in partnership with the IT team.
  • Oversee office assets, company merchandise, and inventory, including storage, tracking, distribution, and replenishment.
  • Organize and coordinate executive visits, client meetings, internal events, meeting rooms, catering, and business hospitality while delivering a high standard of service.
  • Maintain office records, expense tracking, reports, and administrative documentation, ensuring compliance with company policies and approved budgets.
  • Act as the primary point of contact for office-related requests, proactively identifying operational needs and ensuring the office runs smoothly.
  • Required Skills And Qualifications
  • English proficiency: advanced or higher.
  • Proficiency with Microsoft Office (Excel, Word, Outlook) and collaboration tools such as Microsoft Teams.
  • Excellent attention to detail and a proactive, ownership-driven approach to work.
  • Strong communication skills and a friendly approach with colleagues and contractors.
  • Strong organizational and multitasking skills with the ability to manage multiple priorities simultaneously.
  • Nice To Have
  • Previous experience in Office Management, Workplace Operations, Office Administration, or a similar role.
  • Experience coordinating office operations, vendors, facilities, and administrative processes in a fast-paced environment.
  • Experience managing office budgets, procurement, inventory, and administrative documentation.
  • Experience organizing meetings, events, and executive visits, ensuring a high standard of hospitality and service.
