The Role:

This is a key support role within the embryology and laboratory team for a fixed term of 6 months.

You will assist in the day-to-day operational, administrative, and technical activities of the embryology laboratory, ensuring compliance with the Human Fertilisation and Embryology Authority (HFEA) regulations and relevant Codes of Practice.

The role combines administrative excellence with hands-on technical support to help maintain high-quality laboratory services for our patients.

You will work closely with Embryologists, Nurses, and the wider clinical team to ensure smooth workflows, accurate record-keeping, and effective stock and equipment management.

Key Responsibilities:

Administrative Responsibilities

  • Maintain accurate and timely entry of patient data into the clinic database and ensure all information is compliant with HFEA regulations.
  • Manage patient registration and cycle data submissions to the HFEA (including EDI submissions).
  • Prepare and check documentation for patient treatment cycles to ensure completeness and accuracy.
  • Administer the donor sperm bank and perform regular compliance audits.
  • Manage imports and exports of gametes and embryos, ensuring correct documentation and compliance.
  • Assist with the renewal and management of patient consents, cryostorage renewals, and discard processes.
  • Scan and archive paper records into electronic systems as required.
  • Provide telephone and email support to patients and internal teams, ensuring excellent communication and prompt response times.

Technical Support Responsibilities

  • Assist with daily laboratory housekeeping tasks under supervision of senior embryology staff.
  • Support the team in monitoring and maintaining laboratory consumables and stock levels; order supplies where necessary.
  • Coordinate servicing and calibration of laboratory equipment, maintaining up-to-date service logs and third-party agreements.
  • Assist in quality control and audit processes, including traceability checks for all laboratory activities.
  • Participate in cryostorage monitoring and stock checks under supervision.
  • Ensure safe working practices in the lab in line with health & safety and infection control standards.

Compliance & Quality

  • Ensure all administrative and technical tasks adhere to HFEA regulations, clinic policies, and quality management systems.
  • Contribute to audits, inspections, and continuous improvement initiatives within the laboratory.

The Ideal Candidate

  • Previous administrative experience in a clinical, laboratory, or healthcare setting (fertility clinic experience desirable).
  • Strong organisational skills with the ability to prioritise and manage multiple tasks in a busy environment.
  • Good understanding of data accuracy and confidentiality, with strong attention to detail.
  • Excellent communication skills, both verbal and written.
  • IT proficiency, including database management and MS Office applications.
  • Ability to work independently and as part of a multidisciplinary team.
  • Interest in Women’s Health and Assisted Reproduction.
  • Willingness to develop technical knowledge and provide hands-on support in the laboratory under supervision.
