We are looking for a Lead Receptionist to join our dynamic and friendly team. This role is for 16 hours worked over 2 days. Shifts are: Weds 8am-17.30pm, Fri 8am - 15.30pm. Two days are never the same within this exciting role.

You will be the first point of contact for patients, contractors, visitors, and the reception team as well as carrying out general office management tasks. You will be leading a team of 13 receptionists.

Main duties of the job:
  • Providing the first point of contact for patients and acting as a point of communication between patients and clinical staff.
  • Providing support and guidance for the reception team.
  • Leading the day-to-day running of the reception staffing levels, ensuring sickness is fully covered.
  • Receiving, assisting, and directing patients in accessing the appropriate service or healthcare professional in a courteous, efficient, and effective way.
  • Providing general assistance to the practice team and projecting a positive and friendly image to patients and other visitors, either in person or via the telephone.
  • Having excellent communication skills, a compassionate and friendly nature, and the ability to operate in a busy environment with a range of people and professions.
  • Being highly organised and an effective communicator who can provide a professional and warm welcome to our patients.
  • Having experience in leading a team.

About us: Craneswater Group practice is located a stone's throw from Southsea seafront. Our aim is to offer first-class healthcare to our community. Our team of 43 is made up of five GP partners and three salaried GPs, three nurse practitioners, three practice nurses, and two health care assistants. We have a list size of 11,100 patients worked over two sites. We are a training practice and continually develop all our team.

Job responsibilities:
  • Responsible for the day-to-day running of the reception staffing levels, ensuring all periods of sickness are fully covered, including personal attendance if required.
  • In the absence of the Lead Supervisor, take responsibility for the reception team rota.
  • Act as the first point of contact for all members of the Receptionist and Clinical team.
  • Review and delegate processes relating to reception.
  • Responsible for training needs of the reception team.
  • Act as a work buddy for new employees during induction and training.
  • Support the management team with the operational management of additional services.
  • Attend meetings with the Operations Manager when relevant.
  • Attend and support the quarterly Target meetings with the reception team.
  • Maintain and update staff training records.
  • Handle telephone and general enquiries.
  • Overview of ANIMA, our online triage tool.
  • Take messages and process all forms of communication relating to our patients.
  • All forms of data entry relating to patients, including scanning.
  • Ensure work areas are tidy, locking doors, and security alarms where relevant.
  • Comply with Data Protection and smartcard security.
  • Ensure confidentiality at all times.
  • Infection control, ensuring reception is compliant.
  • Comply and familiarise yourself with the practice's policies and procedures.
  • Carry out any reasonable request by doctors and managers.
Person Specification:
  • Qualifications: GCSE Grade A to C or equivalent in English.
  • Able to speak and understand fluent English.
  • Experience of working in a GP surgery on reception.
  • Knowledge of System One.
  • A willingness to work in a flexible and co-operative manner.
