Crane Worldwide Logistics is a leader in supply chain solutions with over 130 locations across 30 countries providing individual services that address our client's logistics challenges. The Operations Coordinator will be responsible for routing, rating, monitoring and coordinating international shipments (Air/Ocean/Road) from pick-up through to delivery, inclusive of warehouse operations and ensuring timely turnaround of consolidation material for clients.
Essential Job Functions:
- Deals directly with clients, customs and agents to ensure the quickest and best movement of cargo throughout the world.
- Prepares documents necessary to complete export, import and customs clearance process, inclusive of WMS processing.
- Tracks and traces cargo as necessary to ensure proper movement and delivery.
- Ensures proper and correct billing and cost information is populated in operating system for accurate invoicing and job costing.
- Communicates with customers regarding disposition of Freight (i.e. tracking & tracing, routing & dispatching, and rate quotations).
- Communicates & corresponds with other Company branches and agents for customer satisfaction, ensuring excellent service execution.
- Seeks the most profitable mode of shipment, yet meets customer’s requirement for the movement of freight.
- KPI adherence – SNI / LNR / Cost accuracy / ROTP.
- Ensures compliance in line with company and industry policies.
- Other duties as assigned.
Administrative & Documentation functions:
- Shipment Coordination (Air/Ocean & Road Transport) inclusive of Material Receipt & RTP activities through the 3PL WMS system.
- Acts as a central control hub to coordinate activities from outlying offices ensuring high quality & timely execution (in communication as well as operational activities).
- Document preparation (dock receipts, bills of lading, export declarations amongst others).
- Data maintenance and entry, and preparation of standard project reports & spreadsheets.
- Timely and clear communication with client regarding disposition of freight (i.e. tracking & tracing, routing options & rate quotations).
- Communication and coordination with subcontracted partners for freight dispatch, routing & pricing.
- Collection and organization of records, files and other information.
- Performs Rating & Billing duties.
- Handles specific operations invoicing.
- Other duties as assigned.
Physical Requirements:
- Talking, hearing and using hands to operate a computer keyboard, mouse and other computer components.
- Sitting for extended periods of time.
- Walking within the warehouse and inspecting freight.
- Vision abilities required by this job include close vision and the ability to adjust focus.
Other Skills and Abilities:
- Must possess strong working knowledge of all rules, regulations, governance and documentation preparations, as it pertains to both Imports and Exports.
- Must have strong verbal and written communication skills.
- The ability to work in a fast-paced environment.
- Strong organizational skills are required, due to the high volume and demands of the position.
- Strong knowledge of Microsoft Word and Excel.
Education and Experience Required:
- 3 – 5 years of industry experience preferred.
