Your Role

Job Overview

We\’re looking for a proactive, systems-savvy Office Manager to keep Craig Foods\’ head office running. You\’ll own day-to-day admin, champion safe and compliant ways of working, and be the coordination hub between Production, Logistics, Van Sales, Finance and Bakery teams. With sharp people skills and confident IT know-how, you\’ll lead a supervisor and admin team to deliver accurate, on-time support—every time.

Key Responsibilities

  • Lead and coach a small team, setting clear priorities, KPIs and standards to deliver key responsibilities.
  • Run daily office ops: reception/inbox triage, post/phones, meeting logistics, travel, minute-taking.
  • Build simple, reliable systems (SOPs, templates, trackers) and keep docs tidy, version-controlled and searchable.
  • Coordinate with Finance on purchase orders, invoice flow, petty cash/credit card reconciles, and payroll inputs (timesheets, allowances, starters/leavers).
  • Create and maintain accurate records (financial/admin, H&S, training matrix, asset register, visitor/contractor records).
  • Act as Data Protection Lead on behalf of the Data Controller: UK GDPR processes, retention schedule, access controls, SAR triage.
  • Coordinate H&S: inductions, risk-assessment filing, accident/near-miss logs, drills; act as Fire Warden/First Aider (training provided).
  • Be first-line IT liaison: user set-ups, permissions, kit issuance/returns; manage devices (laptops/tablets/phones/printers) and service tickets with providers.
  • Oversee facilities, vehicle fleet & suppliers: cleaning, utilities, security, keys/fobs, consumables, contractors; review contracts and drive value.
  • Prepare weekly dashboards/board packs with clear KPIs and follow-up actions.
  • Plan ahead for peaks and projects (audits, customer visits, promotions, product launches) and keep comms crisp across teams.

Skills & Experience

  • High digital confidence across Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams/SharePoint) and willingness to learn new systems.
  • Proven team leadership: setting goals, delegating well, giving feedback, and lifting service standards.
  • Rock-solid organisation and attention to detail; comfortable juggling priorities under time pressure.
  • Clear, professional communicator (written and verbal) with strong minute-taking and stakeholder management.
  • Practical understanding of UK GDPR, basic H&S admin, and handling confidential information discreetly.
  • Nice to have: Food/FMCG or operations environment experience, First Aid/Fire Warden, full UK driving licence.
