We have an exciting opportunity for a Bids and Marketing Support Administrator to join us at our Solihull HQ (with opportunities to collaborate across our regional offices). If you are highly organised, detail-oriented, and motivated by supporting both bid and marketing activities in a fast-paced, collaborative environment, we’d love to hear from you. This is a permanent full-time position, working 36.25 hours per week under our agile working framework.

Key Responsibilities:

  • As a Bids and Marketing Support Administrator, you will support the efficient execution of both bid and marketing activities, ensuring adherence and compliance with our bid and marketing management processes.
  • This role requires a high level of attention to detail, ensuring bid and marketing data is maintained accurately to support successful submissions and wider marketing activities.
  • You will be organised, proactive, and comfortable managing multiple priorities in a dynamic environment.

Bid Support:

  • Supporting bid library management, ensuring content is accurate, up to date, and easily accessible.
  • Managing, organising, and standardising tender responses produced by the bid team.
  • Maintaining the CV library, ensuring all documentation is current and aligned with QA standards.
  • Coordinating and supporting the production of case studies for bid submissions.
  • Filing and organising tender documents into appropriate project folders.
  • Supporting document production including printing, photocopying, and binding (as required).
  • Providing ad hoc administrative support to the Senior Bid Coordinator and Head of Bids.
  • Occasional travel to regional offices to support bid collation activities.

Marketing Support:

  • Providing administrative support for the preparation and submission of industry award applications, including formatting documents, collating information, and tracking deadlines.
  • Assisting with updating and formatting company brochures and marketing materials, ensuring consistency with brand guidelines.
  • Maintaining and organising marketing collateral libraries, including brochures, case studies, and presentations.
  • Supporting the updating of case studies and project sheets for both marketing and bid use.
  • Assisting with uploading and maintaining content on internal systems, website platforms, and shared drives.
  • Providing general administrative support to the marketing function, including document formatting, proofreading, and version control.
  • Supporting the collation of information for marketing campaigns, newsletters, and internal communications.

  • Good written and verbal communication skills.
  • Ability to manage multiple tasks and deadlines effectively.
  • Confidence working collaboratively with a range of stakeholders.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • A proactive approach with a willingness to learn and develop new skills.
  • Experience in an administrative, coordination, or professional office environment would be beneficial.
