Executive Assistant
South Wales – Hybrid
Salary: £35,000

We’re looking for a proactive and highly organised Executive Assistant to work closely with the senior leadership team of one of our clients. This role goes beyond traditional diary and travel management — you’ll also be trusted to lead your own projects, make decisions, and take the initiative to keep things moving without constant direction.

You’ll act as the central link between executives, colleagues, and external partners, ensuring priorities are delivered efficiently and effectively. If you’re a self-starter who enjoys juggling multiple responsibilities and thrives on making an impact, this could be your ideal next move.

What You’ll Do

Leading & Supporting Projects

  • Manage your own projects from planning through to delivery, ensuring timelines, budgets, and quality standards are met.

  • Collaborate with stakeholders to gather information, track progress, and resolve issues quickly.

  • Support executive-led initiatives by coordinating activities and ensuring agreed outcomes are achieved.

Streamlining Executive Workflows

  • Maintain complex calendars, balancing competing priorities and last-minute changes.

  • Arrange domestic and international travel, accommodation, and itineraries.

  • Oversee inboxes, prioritising urgent items and drafting responses where required.

Driving Communication & Collaboration

  • Be the first point of contact for senior leaders, representing them professionally in all interactions.

  • Draft and review correspondence, presentations, and reports for leadership and board use.

  • Facilitate the smooth exchange of information between teams and departments.

Operational Excellence

  • Organise meetings and events, including hospitality and technical set-up.

  • Manage expense claims, purchase orders, and liaise with finance for approvals.

  • Provide occasional administrative support to other members of the leadership team.

Enhancing Professional Image

  • Maintain and optimise executives’ professional profiles, ensuring they reflect strategic priorities.

Driving Improvements

  • Suggest and implement new systems, tools, and processes to improve efficiency.

  • Continuously adapt administrative practices to suit evolving business needs.

What We’re Looking For

  • Solid experience in a senior Executive Assistant or high-level administrative role.

  • Proven ability to manage projects independently from concept to completion.

  • Exceptional organisational skills and the ability to handle multiple priorities.

  • Strong communication skills — written, verbal, and interpersonal.

  • High proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel).

  • A proactive, adaptable, and solutions-focused approach.

  • Discretion, professionalism, and attention to detail.

Ideal Personal Qualities

  • Self-motivated and confident in making decisions.

  • Calm under pressure, even in fast-changing situations.

  • A people-focused communicator who builds trust quickly.

  • Committed to delivering high-quality work on time, every time.
